Job Description

Team PA

London W1 £40,000-£45,000 Office-Based (4 Days in Office, WFH Fridays)

9:00am-5:30pm Full-Time

A boutique investment firm based in Central London is seeking a highly organised and proactive Team PA to support senior management while helping to ensure the smooth day-to-day running of the office.

This is a varied and hands-on role suited to someone who thrives in a fast-paced environment, enjoys taking initiative, and takes pride in keeping operations running efficiently.

The Role:
  • Managing complex diaries and coordinating meetings across multiple time zones
  • Arranging domestic and international travel including flights, accommodation, visas and itineraries
  • Formatting and preparing documents and presentations
  • Supporting senior management with ad hoc tasks and confidential projects

Office & Facilities Coordination

  • Helping ensure the office runs smoothly day to day
  • Liaising with building management, suppliers and service providers
  • Coordinating office equipment, supplies and maintenance
  • Managing incoming and outgoing post

Team & Event Coordination

  • Organising team events, social activities and internal functions
  • Acting as the first point of contact for visitors and creating a welcoming office environment

Additional Responsibilities

  • Assisting with invoice processing and expense administration
  • Managing company equipment and service contracts
  • Supporting operational processes and office compliance requirements
  • Assisting with occasional ad hoc tasks as required
About You:
  • Previous experience as a Team PA, PA, EA or Office Manager
  • Highly organised with excellent attention to detail
  • Strong communication and stakeholder management skills
  • Confident using Microsoft Office, particularly Word and PowerPoint
  • Proactive, adaptable and solutions-focused
  • Professional and discreet when handling confidential information
