Job Description

Our venue Receptionists play a very important part in the team and the day to day running of the business. They are the first and last point of contact for all visitors and staff.

Working Monday - Friday on a shift pattern between 07 30 or 09 00, Receptionists spend about 70% of their time greeting people. The remaining time involves producing documentation, rebooking appointments, ordering stationary supplies, archiving, training, updating systems, and managing venue facilities, including health and safety.

Responsibilities
  • Meet and greet visitors in a warm and friendly manner.
  • Manage daily appointments using CRM/PRS and re schedule as required.
  • Open and lock the venue and ensure security procedures are followed.
  • Identify and validate all attendees, direct claimants to the appropriate locations, and seat them outside the consultation room.
  • Perform day to day organisational and administrative duties including data entry and maintenance of CRM/PRS systems, and uploading documents to the H&S System CASPER as an H&S site Champion.
  • Maintain business office supplies inventory.
  • Keep the venue at a professional standard.
  • Provide claimants and staff with relevant information while in the venue.
  • Ensure all visitors feel welcome and comfortable throughout their experience.
  • Provide directions over the telephone, using knowledge of local transport, taxis, and parking.
  • Contribute to the strategic management and development of the business.
Qualifications
  • Experience as a receptionist and customer service role.
  • Good planning and organisational skills.
  • IT literacy, including MS Teams, Word, Outlook, and CRM systems.
  • Experience with conflict resolution and de escalation techniques in face to face environments.
  • Clear and concise verbal and written communication skills.
  • Friendly disposition and customer service ethos.
  • Initiating contact with claimants, companions, and visitors, and responding to requests.
  • Willing to attend all training and development courses.
  • Polite, approachable, and attentive at all times.
  • Excellent time management skills and punctual.
  • Ability to work without supervision.
  • Good listening, understanding, and helpful attitude, providing a professional service.
