The Avenue Practice provides care to patients in Brighton. We are a small, friendly team and are all passionate about doing the best for our patients. We are looking for a new Receptionist/Administrator to join us on our mission to provide high quality care to our patients.
You will be the first point of contact for patients and visitors, so a friendly and caring personality is a must!
We are open Monday to Friday,08:00 to 18:30. A shift pattern will be agreed with you to encompass these core hours.There may on occasions be a requirement to work on a Saturday, but you will have notice of when this would be.
Youwill be reliable and work flexibly, act on your own initiative and use your judgement in prioritising key and urgent tasks.
As you can imagine, we deal with highly personal and confidential data, so you will exhibit a high level of confidentiality, sensitivity and awareness to this. Excellent skills of tact and diplomacy must be used to ensure that the confidential nature of the work done here is maintained at all times.
You will have previous experience in dealing with the general public and possess excellent social skills and the ability to deal with our patients in a sensitive, calm and non judgemental manner on a daily basis by face to face, telephone and email.
Finally you are required to have a good standard of general education including Maths, English and IT skills together with the ability to work in an organised and efficient way.
Main duties of the job- Act on own initiative, within broad procedural guidelines and without direct supervision.
- Undertake activities within the reception/administrative area.
- Undertake patient registrations.
- Liaise with Secondary Care, Social Services and other teams as necessary.
- Ensure efficient service delivery to patients.
- Ensure effective time management and workload prioritisation.
- Participate in staff duty rota and arrangements for appropriate substitution during staff absence.
- Promote good staff relations and motivation.
- Provide effective communication mechanisms with all public and professional users of the practice - either face to face, over the telephone, in writing or by electronic mediums.
- Maintain inventories and arrange replacement of stocks as required.
- Ensure strict adherence to the practices computer security protocols.
- Ensure the filing system is maintained.
- Participate in internal and external training events as required.
- Use own initiative to effectively organise own work and that of the reception/ administrative staff within the team.
- Ensure building security arrangements are implemented.
- Ensure that complaints from patients are brought to the attention of the Practice Manager.

Job responsibilitiesThe duties andresponsibilities to be undertaken by members of the Practice administrationteam may include any or all of the items in the following list. Duties may be varied from time to time underthe direction of the Receptionist/Administrator Manager/Practice Manager,dependent on current and evolving Practice workload and staffing levels:
Openingup/locking-up of Practice premises and maintaining security in accordance withPractice protocols
Maintainingand monitoring the Practice appointments system
Processingpersonal and telephone requests for appointments, visits and telephoneconsultations and ensuring callers are directed to the appropriate healthcareprofessional
Processingand distributing incoming (and outgoing) mail
Takingmessages and passing on information
Filingand retrieving paperwork
Processingrepeat prescriptions in accordance with Practice guidelines
Computerdata entry/data allocation and collation; scanning, processing and recordinginformation in accordance with Practice procedures
Initiatingcontact with and responding to requests from patients, other team member andassociated healthcare agencies and providers
Clearingand re-stock consulting rooms as required
Providingclerical assistance to Practice staff including word/data processing, filing,photocopying and scanning
Provisionof refreshments for staff and visitors as required; loading and emptying thedishwasher and keeping the kitchen area clean and tidy
Keepingthe reception area, notice-boards and leaflet dispensers tidy and free fromobstructions and clutter
Personal/ProfessionalDevelopment:
The post-holder willparticipate in any training programme implemented by the Practice as part ofthis employment, such training to include:
Participation in anannual individual performance review, including taking responsibility formaintaining a record of own personal and/or professional development
Taking responsibilityfor own development, learning and performance and demonstrating skills andactivities to others who are undertaking similar work
Person Specification Experience- Experience of working in primary care / healthcare setting.
