Job Description
Location:Dublin 1 (Hybrid, 2-3 days onsite) Hours:8.30am - 5.00pm (flexibility required) We are seeking an experienced and proactive Personal Assistant to provide high-level support to the CEO of a leading financial services organisation. This is an exciting opportunity to join the business during a planned succession period. Working alongside the current PA, who will retire within the next 12-18 months, you will benefit from a structured handover, allowing you to build strong relationships and gain a deep understanding of the organisation before taking ownership of the role.

Supporting the CEO will account for approximately 60% of your role, with the remaining 40% spent working alongside the Executive Support Team to provide broader executive support across the Dublin office.

Key Responsibilities

  • Proactive diary and calendar management, coordinating meetings and priorities.
  • Manage high-volume email correspondence and prepare meeting documentation.
  • Coordinate domestic and international travel, itineraries, accommodation and expenses.
  • Organise internal and external meetings and corporate events
  • Build strong relationships with internal stakeholders and international colleagues
  • Work collaboratively with the Executive Support Team on wider administrative and business support.
  • Identify opportunities to improve processes and embrace AI-enabled tools to enhance efficiency.

About You

You are an experienced PA or Executive Assistant who is highly organised, professional and confident working with senior stakeholders. You are proactive, exercise sound judgement and enjoy building trusted relationships across a business.

You will bring:

  • At least 4 years' experience supporting C suite level within a professional services or corporate environment.
  • Exceptional organisational, communication and diary management skills.
  • Experience coordinating complex international travel and managing expenses.
  • Advanced Microsoft Office skills, including Outlook, Word, Excel, PowerPoint, SharePoint and Microsoft Copilot.
  • Experience using Concur or similar expense management systems.
  • Confidence using AI productivity tools such as Microsoft Copilot, ChatGPT or similar to improve efficiency.
  • The ability to manage confidential information with discretion and prioritise effectively in a fast-paced environment.
