PA Travel Assistant
Location: London (Hybrid - few times a month)
Contract: 3 months

What You'll Do
- Build strong relationships with team leaders to coordinate and proactively manage stakeholder schedules; anticipate potential issues, resolve priorities, and handle conflicts efficiently
- Foster close relationships with team leaders to initiate and arrange all meetings collaboratively; optimize stakeholders' time across locations, during sessions, and while travelling
- Cultivate close relationships with team leaders to understand stakeholders and clients; proactively prioritize and manage incoming emails on their behalf
- Develop knowledge of clients and priorities to screen incoming calls; handle general enquiries or transfer as needed
- Leverage client and priority knowledge to decide on and arrange stakeholder travel via the Distribution Team Travel Desk-including bookings for transport/accommodation, itineraries, and expenses-using tools to ensure time-efficient, cost-effective attendance at off-site meetings and events
- Build stakeholder relationships to manage attendance/prep (reminders, docs), greet/escort clients for on-time L&G experiences, minute/distribute actions confidentially, foster cross-firm contacts, and produce brand-compliant documents/reports/presentations
- Manage key hire interviews (agency liaison, scheduling, travel, feedback), new starter onboarding (stakeholder intros, point person), admin tasks (invoices, records, compliance with FCA/Consumer Duty), team events/supplies/systems access, workload prioritization, PA networking, and client-outcome focus
What You Bring
- Proven PA experience managing high-volume diaries, stakeholder coordination, and confidential admin for senior leaders
- Strong travel expertise
- Excellent organizational skills with strong prioritization abilities
- Thrives under pressure, assertive when needed while maintaining quality
- Meticulous attention to detail and accuracy in all tasks
- Quickly adapts to and utilizes required IT tools
- Handles sensitive information diplomatically and confidentially
