Job Description

Are you an organised and proactive Operations Coordinator looking to play a key role in a dynamic academic environment? In this fixed-term role, you will support academic departments across Imperial Business School during the implementation of a major new university system, helping ensure operations continue to run smoothly while teams focus on testing and transition. You will provide flexible operational support across departments and contribute to selected Central Operations activities, working closely with colleagues across the School.

What you would be doing

In this role you will provide high-quality operational and administrative support across academic departments within Imperial College Business School, helping ensure that day-to-day activities run smoothly during a period of system implementation and operational transition. You will work closely with faculty, departmental teams and central professional services colleagues to coordinate processes, manage information, and support a range of operational tasks.

Your work will involve supporting faculty with practical and administrative needs, coordinating meetings and events, maintaining accurate records and systems, and helping colleagues navigate operational processes. You will also contribute to wider Central Operations activities where required, providing flexible support across the School and helping maintain continuity during this important period of change.

  • Experience providing high-quality administrative or operational support in a professional or academic environment.
  • Strong organisational skills with the ability to manage multiple tasks, prioritise effectively and meet deadlines.
  • A proactive and flexible approach, with the ability to support different teams and adapt to changing operational needs.
  • Excellent communication and interpersonal skills, with the confidence to work with colleagues across departments and levels.
  • Strong attention to detail and the ability to maintain accurate records, systems and documentation.
  • Confidence using digital systems and tools to support coordination, administration and information management.
  • A collaborative mindset and willingness to contribute to wider operational activities across the School where needed.

This is a fixed-term role supporting operational continuity across academic departments within Imperial Business School during the implementation of a new university-wide system. The position provides flexible support across departments during this transition period and may also contribute to selected Central Operations activities across the School.
