Job Description

Role: Office Manager

Contract Type: Maternity Cover, 10 Months minimum with potential of permanent role at the end

Salary: £30-35,000 FTE

Location: Outskirts of Leeds City Centre, Hybrid

Start Date: ASAP

Are you an organised and proactive individual with a passion for creating a positive workplace environment? Our client, a rapidly growing organisation is seeking an Office Manager to keep their office running smoothly for a fixed term of 10 months. This is an exciting opportunity to play a crucial role in ensuring a productive and welcoming atmosphere for all employees and visitors.

About the Role

As the Office Manager, you will be the central point of contact for employees, visitors, suppliers, and facilities partners. Your main goal will be to maintain a safe, well-organised, and efficient workplace. This role involves a variety of responsibilities, including:

Office Administration
  • Serve as the first point of contact for general queries
  • Maintain office policies and guidelines
  • Support diary and room bookings
  • Assist with onboarding new starters
  • Manage stock and ordering of office supplies, kitchen items, and run the weekly food shop
  • Monitor inventory and reorder supplies before shortages occur
  • Ensure tidy kitchens, meeting rooms, and communal spaces
Facilities Management
  • Act as the main contact for building management, contractors, and suppliers
  • Report, track, and resolve facilities issues (e.g., faulty equipment, furniture repairs)
  • Coordinate maintenance visits and uphold office standards
  • Manage building access, including ordering and maintaining access fobs
  • Keep accurate records of on-site visitors and coordinate visitor access
  • Support workplace health and safety compliance
  • Help plan and coordinate fire evacuation procedures and drills
  • Assist with risk assessments and stay informed on procedures
  • Build and maintain effective relationships with office suppliers, service providers, and facilities partners
  • Manage communications, deliveries, and service requests while reviewing supplier performance and escalating issues as needed
Front of House
  • Welcome visitors, clients, and suppliers warmly and professionally
  • Manage arrivals and ensure meeting rooms are presentable
  • Oversee incoming deliveries
  • Identify opportunities to improve office processes
About You
  • Has previous experience in office management or a similar role
  • Possesses strong organisational skills and excellent communication abilities
  • Can build positive relationships with employees, suppliers, and external partners
  • Has a proactive approach and a keen attention to detail
  • Can resolve issues calmly and efficiently
  • Is comfortable managing practical workplace tasks and coordinating contractors
  • Has a good working knowledge of Microsoft Office, Google Workspace, and office systems
