Medical Secretary - 11 Month Fixed Term Contract, UPMC Whitfield Hospital, Waterford

OverviewProvide administrative support to consultants across cardiac specialties, ensuring efficient processing of practice, patient pathway, and excellent patient experience throughout the hospital.
Key Responsibilities- Perform medical secretary duties for the hospital suites; meet, greet and book patients on clinic days efficiently.
- Understand and follow the patient pathway throughout the hospital.
- Set up and expand clinics as required; promptly handle phone calls, referral letters, patient appointments and fees.
- Request and gather required information from other hospitals (scans, histology, pathology reports, etc.).
- Handle cash payments, enter into system and balance daily; ensure billing occurs promptly and patient accounts remain up to date.
- Complete medical reporting after consultations; send copies to referring GPs and consultants.
- Respond to patient enquiries promptly.
- Maintain efficient filing systems for each consultant; keep practice software (Immeddoc/TPRO) up to date.
- Coordinate with hospital referrals and scheduling teams and adhere to booking policy.
- Answer telephone calls courteously; distribute messages as appropriate.
- Provide training for relief staff or work experience staff as needed.
- Follow uniform policy.
- Work in other hospital areas as directed by line manager or nurse management.
- Produce documentary evidence of training and experience as required.
- Respect organisational values.
- Participate in quality and safety programmes, including JCI, Lean audits, and performance indicators.
- Ensure safety, health and welfare, report incidents, attend annual Fire & Health & Safety education sessions.
- Maintain confidentiality of patient and staff information in accordance with information governance.
- Medical Secretary or Business Secretarial qualification desirable.
- Minimum 2 years experience in similar role.
- Previous experience in healthcare setting advantageous.
- Excellent knowledge of Microsoft Office.
- Experience with Immeddoc and TPRO desirable.
- Strong administrative and organisational skills.
- Knowledge of general office procedures essential.
- Ability to work in fast paced, customer based environment.
- Experience in change management and lean thinking.
- Excellent interpersonal and communication skills with staff, consultants, patients, public and agencies.
€34,845.00 - €50,710.08 per annum (based on a 39 hour week).
