Collaborative Personal Assistant

We have an exciting opportunity for you to work within the Diagnostic and Clinical Support Collaborative, providing PA support to the Triumvirate.

The role of the PA is to provide the Collaborative Triumvirate with a high quality and consistent level of administrative and secretarial support.

This is a demanding, fast paced and varied role that requires a confident communicator with experience of negotiating and influencing staff at a senior level, combined with excellent organisational skills and attention to detail. It requires a dynamic, motivated and forward thinking individual with excellent interpersonal skills and a strong team work ethic.

Main duties of the job
  • Provide comprehensive Personal Assistant admin support to the Triumvirate within the Collaborative, resolving day to day challenges independently and making informed decisions within area of responsibility.
  • Ensure targets are met in accordance with Departmental, Trust and National standards, policies and procedures.
  • Undertake the full range of PA duties, including diary management, meeting facilitation, minute taking, report writing, management of agendas and action logs, answering calls, taking messages, and handling correspondence.
  • All tasks are performed in line with Trust confidentiality policies and procedures.

Person Specification Qualifications
  • Good administration education including a minimum of GCSE qualification in English Language or equivalent.
  • RSA III word processing or equivalent.
  • NVQ3 administration or significant relevant experience.
  • ECDL.
  • NVQ4 administration or relevant experience.
Other requirements
  • Willing to adapt to changing circumstances and priorities.
  • Flexible approach to working patterns.
  • Promote equality and value diversity.
  • Ability to travel across Trust sites.
Skills
  • Good communication skills both written and verbal.
  • Ability to deal with information sensitively and confidentially.

Knowledge and Experience
  • Good working knowledge of Microsoft Office applications including Word, Excel, PowerPoint and Teams.
  • Knowledge of organisational policies and procedures.
  • High standard of presentation, documents and correspondence.
  • Experience of organising and facilitating meetings and minute taking.
  • Experience of dealing with non routine issues and problem solving.
  • Experience of diary management.
  • Working effectively in a team and on own initiative.
  • Day to day management of staff.
  • Previous administrative experience within NHS.
  • Knowledge of NHS guidelines.
