Job overview

We are looking for an enthusiastic Apprentice Administrator to join our small team providing administrative support services to the Chief Executive's team at East Midlands Ambulance Service. As an apprentice you will work with our team and gain hands on experience in a wide range of administration skills, including reception and switchboard, printing and photocopying, using Excel spreadsheets to track correspondence, typing emails and documents, dealing with incoming and outgoing mail, learning about corporate governance and gaining experience in producing agendas and recording action logs.

All of this will enable you to achieve your NVQ Level 3 in Business Administration. Course contents include your training plan, end point assessment, work based training, monthly assessor sessions throughout the entire apprenticeship, end point assessment preparation, assignments/workbooks, guided self study, quarterly progress reviews, directed learning & observations, professional discussions, training, coaching & feedback sessions.

The role is office based at our Headquarters in Nottingham, full time Monday to Friday 9am - 5pm and is a fixed term contract for a total of 18 months.

Main duties of the job
  • Provide support to the Reception team for lunchtime and holiday cover of the main Headquarters reception and switchboard.
  • Answering and transferring calls and dealing with visitors, parcel deliveries, etc.
  • Answering emails in the generic admin inbox and allocating emails for action to the correct person.
  • Receiving, logging and processing correspondence through to signature following the team's established systems.
  • Using skills in Microsoft Outlook, Excel, Word and Microsoft Teams for arranging diary dates and meetings.
Working for our organisation

We are a small but busy corporate admin team and need an Administrative Assistant to help keep us all on track. You will be the lead person managing our busy generic inbox and keeping our correspondence trackers up to date, and booking travel requests on our travel system.

Follow established systems and processes and maintain tracking spreadsheets for correspondence. Book travel including rail and hotels. Deal with incoming and outgoing mail. Reception duties to cover absence. Process correspondence for signatures. Book rooms and set up meetings, including ordering lunch and refreshments.
