Job overview

We are currently seeking a Clerical Officer to join our Cardiology & Respiratory teams.

Hours: 37.5 hours per week.

We are seeking a highly motivated, energetic and hardworking individual to join our very busy teams.

We require hard working individuals to join our team, delivering a smooth and efficient administration service to support Cardiology and Respiratory departments for Gloucestershire Hospitals NHS Foundation Trust across both sites (Gloucestershire Royal Hospital and Cheltenham General Hospital).

The successful post holder will be working within a demanding but rewarding environment, as you will be contributing to the patients receiving their care.

Additional working pattern details: split across respiratory and cardiology services

Main duties of the job
  • Validate 18-week RTT pathways ensuring accuracy of Patient Tracking Lists (PTLs).
  • Ensure TrakCare entries accurately reflect pathway activity and patient status.
  • Review clinical information to ensure pathways are correctly recorded.
  • Develop understanding of diagnostic and non-diagnostic procedures and apply correct waiting list status.
  • Support achievement of RTT targets by escalating delays, risks, and capacity issues.
  • Maintain and support the NHS Federated Data Platform and chase outstanding results.
Administrative and Clerical Duties
  • Provide a professional, confidential administrative service to clinicians and teams.
  • Manage incoming post; receipt, scanning, distribution, and actioning.
  • Deal with enquiries via telephone, email, and letter, escalating where appropriate.
  • Undertake routine office duties including filing, photocopying, and record maintenance.
  • Support clinic changes in line with Trust policy.
  • Process forms (e.g. DVLA) and ensure timely completion.
  • Provide cross-cover for colleagues to maintain service continuity.

Our friendly and hardworking administration team support the Cardiology and Respiratory departments for Gloucestershire Hospitals NHS Foundation Trust.

The Cardiology & Respiratory Department admin teams are made up of Clerical Officer/Receptionists, Medical Secretaries, and Booking Services who work as a team to support a large and busy cohort of clinical staff.

You will be an integral part of this hardworking team.

Qualifications
  • Educated to GCSE grade C or above (or equivalent) in literacy and numeracy
  • NVQ Level 3 in administration or equivalent experience, or appropriate experience in a hospital/office environment
Experience
  • Experience of working in an administrative or clerical officer
  • Appropriate experience in a hospital or office environment
  • Understanding of RTT pathways / medical terminology
Knowledge & Skills
  • Strong IT skills (Microsoft Office and hospital systems)
  • Accurate data entry and attention to detail
  • Ability to prioritise workload and meet deadlines
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Ability to elevate risks appropriately
