Job Description

We are seeking a temporary (5 months), proactive, and detail-oriented IT Administrator located in Barcelona to join our global IT team. The ideal candidate will be responsible for IT support, asset management, onboarding/offboarding processes, procurement, and IT project management. This role requires excellent communication skills, adherence to SLAs, and a strong collaboration mindset to work with multiple teams, including the IT team, back-office staff, and end-users.


Responsibilities:

IT Support & Ticketing Management

  • Track and resolve IT support tickets efficiently while ensuring compliance with SLAs.
  • Provide technical assistance to employees, escalating when necessary to avoid
  • blockers.
  • Communicate effectively with IT teams globally and local teams in Barcelona.
  • Ensure adherence to IT policies, security standards, and process guidelines.

Onboarding & Offboarding (Europe & UK)

Onboarding:

  • Request and coordinate laptop orders in advance to ensure timely delivery (2 weeks before start date for remote employees when possible, same-day delivery for local hires in Barcelona office).
  • Conduct onboarding sessions via video call for remote employees and in person for local employees, following onboarding schedules calendar with Barcelona back-office team.

Offboarding:

  • Collect and manage returned laptops, ensuring security policies are followed.
  • Lock devices when necessary, and wipe them when delivered, following security best practices.

Procurement & Inventory Management

  • Track and execute Purchase Requests and Purchase Orders for IT equipment, while maintaining efficient communication with vendors and all relevant stakeholders.
  • Manage IT inventories across Europe, including asset assignments and stock levels using our inventory system, Dots.
  • Oversee device lifecycle management and timely upgrades/replacements.

IT Documentation & Knowledge Management

  • Maintain and update internal Solution Articles for IT processes.
  • Ensure documentation is accessible for both IT staff and end-users.
  • Support knowledge-sharing initiatives within the IT team.

SaaS Applications & IT Projects

  • Manage and support various SaaS applications in collaboration with the SaaS Administrator when required.
  • Ensure IT expenditures align with budget constraints.
  • Lead or assist in IT projects aligned with the company's IT roadmap

Security & Compliance

  • Track potential security threats and escalate to the Security team when required.
  • Ensure removal of access to all applications when an employee leaves the company when detected, while communicating with SaaS Administrator.
  • Maintain Role-Based Access Control (RBAC) for active users.
  • Follow and enforce IT/Security policies to protect company data and infrastructure.

Collaboration, Teamwork & Reporting

  • Engage in weekly one-on-one meetings with the IT Manager to provide updates on key topics.
  • Maintain open communication with other departments to ensure seamless IT operations.
  • Work professionally with all levels of staff, demonstrating a strong collaboration spirit.
  • Cooperate effectively within the IT team and cross-functional teams, fostering a team-oriented environment.
  • Support colleagues and contribute to team success by sharing knowledge, assisting with problem-solving, and maintaining a positive work culture.
  • Adapt and learn in a fast-paced and evolving environment.


Requirements & Qualifications:

  • Fluent in English (both written and spoken) with excellent communication skills.
  • 1-2 years experience in leading a team
  • Proven experience in IT support, IT operations, or a related field.
  • Knowledge of SaaS applications and IT asset management.
  • Familiarity with security policies and compliance standards.
  • Ability to work independently and take initiative in problem-solving.
  • Strong organizational skills and attention to detail.
  • Ability to manage and execute procurement processes effectively.
  • Experience with IT project management is a plus.
  • Strong teamwork skills, with the ability to collaborate effectively and support colleagues.
