Team Lead Administrator


Salary: £26,800 per annum, pro rata


Location: This is a hybrid role, primarily home based, with some travel to our services in Greenock, Hamilton and Motherwell, and occasional visits to Glasgow and West Lothian.


Contract/Hours: 12 Month Fixed Term contract/ Part Time - 21 hours per week (work pattern negotiable)

A bit about the role

We're excited to welcome a Team Lead Administrator who will inspire and manage a dedicated administrative team across a cluster of services. In this pivotal role, you'll ensure the delivery of high quality, customer focused support by coordinating workloads effectively and enabling the team to achieve outstanding results.


Working alongside the Children's Services Manager (CSM), you'll ensure staff records are accurate and up to date, support payroll processes, and contribute to effective budget monitoring. You'll produce clear, reliable written and financial information that reflects the high standards and professionalism of our organisation.


Working jointly with the CSM, you'll manage the delivery of a range of administrative services i.e. meetings, management, maintenance of information and database systems. To maximise the use of digital technology systems (including Microsoft office packages) and other services to enable operational management and staff to achieve their service and personal objectives.


You'll drive the development, review and implementation of the frameworks, systems and protocols that keep our services running smoothly. This includes everything from Health & Safety reporting to financial and funding monitoring, HR record keeping and petty cash processes.


What you do could make a difference

  • Leading and supporting a team of administrative staff across the cluster, ensuring workloads are shared fairly and the team delivers a high quality, people focused service that helps the wider team and service achieve their goals.

  • Working closely with senior managers to prepare briefing papers, reports, communications, and presentations, including interpreting statistical information and carrying out research where needed, while ensuring all tasks are completed accurately and within agreed timescales.

  • Keeping staff records accurate and up to date, including contractual changes, payroll information, and training records.

  • Producing clear written and financial reports for management, ensuring information and data are presented in line with organisational and regulatory standards.

  • Overseeing project budgets, managing work request orders, coordinating stationery supplies, and handling petty cash, including accurate reconciliation.


Let's talk about you

  • Business Administration or Management S/NVQ Level 3, or equivalent experience, with the ability to take ownership of projects or tasks and deliver them within agreed timescales.

  • A collaborative approach to working within a team, showing tact, diplomacy, and the confidence to guide or direct colleagues when needed.

  • Strong written and verbal communication skills, with the ability to engage effectively with a wide range of people.

  • A proven ability to liaise with senior external stakeholders and coordinate key activities in a professional and timely manner.

  • Confidence in managing tasks or projects independently, ensuring they are completed accurately and on schedule.

  • High level proficiency in Microsoft Outlook, Word, Excel, Oracle and PowerPoint.

  • The ability to provide clear direction to a team, using a flexible and supportive management style that helps staff grow, develop, and achieve their goals.
