Team Coordinator

The Team coordinator provides comprehensive administrative support to clinical and support service teams, coordinating the daily running of administrative operations. They manage the admin secretaries to ensure proper record taking, planning of telephone/face to face enquiries, diaries, appointments, and meeting minuting, maintain accurate electronic and manual records in line with confidentiality and information governance standards, produce correspondence using Microsoft Office and digital transcription systems with high attention to detail, support patients, carers and staff by providing non clinical information and coordinating services, prioritise workload, meet deadlines, and maintain effective office systems. They also contribute to service improvement, follow Trust policies, and work collaboratively to deliver a professional, efficient, and customer focused service.

Main duties of the job

You will work as part of a team to provide comprehensive, efficient, and effective secretarial and administration support services to the multidisciplinary teams under the direction of the Service Manager / Professional Lead and supported by an agreed work plan. The job holder will provide day to day supervision and support for a designated admin team or teams and will be responsible for liaising with other administrative and clinical staff within Leeds & York Partnership NHS Foundation Trust to ensure an efficient and consistent admin support service is provided.

This role requires a strong capability in data analysis, with particular emphasis on the proficient use of Microsoft Excel to produce and interpret monthly statistical reports. The post holder will be responsible for analysing referral data and generating regular performance reports to monitor and demonstrate referral activity within the service.

Flexibility will be required by the successful applicant with regards to work base and hours, allowing provision of cover for colleagues in different areas when required.

Person Specification Qualifications
  • Extensive administrative and secretarial experience at NVQ 3 level or equivalent.
Skills
  • Essential audio typing and minute taking skills.
  • Demonstrate a positive attitude towards the implementation of new systems and new ways of working. Demonstrate empathetic and supportive interpersonal and people management skills; take a flexible approach to supporting the clinical team and be able to evidence the ability to prioritise and multitask.
  • Essential communication skills - verbal, written with proficient computer skills (conversant with MS Office Suite, Care Director, BigHand, SPINE).
