We are looking for an enthusiastic experienced candidate to provide line management to a team of secretaries, administration staff and receptionists in our South WAA CMHT service. The successful applicant will need to be highly motivated, positive, and able to work under pressure, often managing conflicting demands on their time, as well as meeting tight deadlines. The support service team is a friendly but busy team and, if you are successful, you will be expected to be a key player in its day-to-day running.
We need someone with excellent secretarial and managerial skills who is adept at dealing with the challenges thrown up by supervising a group of staff.
Main duties of the jobAbout the Role
We are looking for a highly organised and adaptable individual to join our team in a busy and challenging environment. You will play a key role in coordinating the day-to-day tasks and workload of Band 2 and Band 3 staff, ensuring smooth and efficient service delivery.
Key Responsibilities
- Overseeing and coordinating daily workflow and supporting staff with task prioritisation
- Supervising Band 2 and Band 3 team members
- Planning and managing shift rotas
- Organising and coordinating meetings, including complex minute-taking
- Providing audio typing and diary management support
- Maintaining accurate administrative records and documentation
- Using MS Word, Excel and PowerPoint confidently as part of daily duties
- Providing short-notice cover for colleagues when required

You will bring strong written and verbal communication skills, excellent interpersonal abilities, and a proactive approach to administration. Flexibility is essential, as is the ability to work effectively under pressure while maintaining high standards of accuracy and professionalism.

Person Specification Qualifications- NVQ 3 or equivalent qualification or relevant experience.
- Excellent Proven Communication skills and coordinating skills.
- Previous substantive Administration/Secretarial or managerial experience.
- Knowledge of Information Governance and administration tasks.
