Job Description

The post holder will work as part of the Smokefree Pregnancy Service and act as a contact point for the team providing a wide range of administrative and clerical duties. The main responsibilities will be actioning referrals, record keeping and data collection.

Key Responsibilities
  • Support the Smokefree Pregnancy Service team with any administrative related activities.
  • Act as the first point of contact for referrals and arrange appointments with the Maternity Tobacco Dependency Advisors.
  • Provide basic information to pregnant women about the role of the Smokefree Pregnancy Service in supporting their quit journey.
  • Maintain up-to-date, accurate and comprehensive records at all times, using the Smokefree Pregnancy digital platform and Hive.
  • Maintain databases and support data collection.
  • Plan own workload and activities within role boundaries and under the management and guidance of the Smokefree Pregnancy Service.
  • Maintain appointment diaries and clinical records.
Qualifications
  • NVQ Level 3 or equivalent experience.
Knowledge
  • Evidence of continuing personal development.
  • Experience of working within a health setting.
  • Knowledge of NHS hospital administrative systems.
Training and Experience
  • Excellent IT skills and experience of using word processing and data analysis software packages (e.g., Microsoft Excel, Database, Word and Outlook).
  • Previous experience of providing administrative support within the NHS.
  • Experience of dealing with members of the public.
  • Experience of working in a busy office environment.
  • Experience in using office information systems.
  • Experience of working with confidential information.
  • Experience of audits.
Skills and Abilities
  • Ability to work independently and as part of a team.
  • Excellent written and verbal communication skills.
  • Work effectively without direct supervision and be able to prioritise workload to meet deadlines.
