We are seeking a proactive and highly organised Senior Team Coordinator to join our support team in our London studio. This pivotal role will provide comprehensive support to the Partners and their architectural teams, ensuring the smooth running of day-to-day operations across multiple projects. From managing diaries to coordinating project documentation, you'll be the backbone of administrative efficiency in a dynamic and creative environment.

Candidates should be organised, self-motivated, and commercially astute, with a strong focus on forward planning and an aptitude for finding solutions to any challenge.

Responsibilities

Your key responsibilities will be as below, but not limited to:

  • Diary & Meeting Coordination
    • Manage Partners calendars and inboxes
    • Schedule internal and external meetings, ensuring timely communication and follow-ups
  • Project Administration
    • Assist in the preparation and distribution of stage reports, presentations, and other project outputs
    • Maintain accurate and up-to-date project records and documentation
    • Risk Management and quality control: Identify potential risks and challenges in project execution, work with the team to develop strategies to mitigate risks, proactively address issues that may arise, ensure standards are met through conducting quality assurance review, implement, and enforce quality control processes.
  • Project Management Support
    • Update and monitor project timelines, milestones, and resource allocations in CMap
    • Support financial tracking and reporting as required
  • Document & CDE Management
    • Organise and maintain project files within Common Data Environment's (CDE's)
    • Ensure version control and compliance with document protocols
  • Team Coordination
    • Act as a central point of contact for administrative queries across architectural teams
    • Support onboarding of new team members and coordinate training logistics
  • General Administrative Support
    • Assist with travel arrangements, expenses, and other operational tasks
Skills and Qualifications
  • Proven experience in a team coordinator, project administrator, or similar support role
  • Document control proficiency using Aconex, CEMAR, Atvero, or CMap PIM
  • Skilled in Adobe Creative Suite and compiling client reports
  • Proficient in CMap (or similar project management tools) and Microsoft Office Suite
  • Strong organisational skills with a flexible, self-directed approach
  • Excellent communication and stakeholder management across all levels
  • High attention to detail, professional demeanour, and commercial awareness
  • Familiarity with architectural or design studio environments
