Function: Operations/Scheduling Co-Ordinator
Pay Rate: €27 - €30 Per Hour
Type of contract: LTD & FTC (can work via Umbrella company)
Initial contract length: 12 months

Why This Role Matters
You will be the heartbeat of service delivery-ensuring engineers are scheduled efficiently, services run smoothly, and customers receive the highest level of support. You'll work in a dynamic pharmaceutical environment, collaborating with internal teams and third-party vendors to keep operations running seamlessly.

What You'll Do

  • Lead and oversee daily pharmaceutical operations activities, ensuring seamless coordination of laboratory equipment maintenance and service schedules.

  • Manage and mentor a team of operations coordinators, providing guidance, training, and support to ensure high performance and service excellence.

  • Act as the primary operational liaison between customers, vendors, and internal stakeholders, ensuring effective communication and issue resolution.

  • Oversee vendor management activities, including onsite service coordination, permit approvals, and ensuring service engineers comply with site and regulatory requirements.

  • Drive operational efficiency by monitoring KPIs, service performance metrics, and ensuring maintenance and repair activities are completed within agreed SLAs with minimal disruption to laboratory operations.

  • Chair and participate in operational review meetings, customer governance calls, and cross-functional stakeholder discussions.

  • Lead customer asset management processes, ensuring accurate inventory control, documentation, and compliance within CMMS systems.

  • Oversee the scheduling and coordination of inductions, ensuring all vendor documentation, RAMS, certifications, and compliance requirements are completed accurately.

  • Manage escalations related to instrument downtime, repairs, and service delays, implementing proactive solutions to minimise operational impact.

  • Coordinate the shipment, tracking, and return logistics of off-site instruments and equipment.

  • Review and approve vendor service reports, ensuring accurate upload to CMMS platforms and timely closure of associated work orders.

  • Ensure adherence to GMP, cleanroom protocols, PPE requirements, and all pharmaceutical regulatory and safety standards.

What You Bring

  • Third-level qualification (science background a plus!).

  • Proven experience within pharmaceutical environments.

  • Demonstrated leadership experience with the ability to manage, mentor, and develop operational teams.

  • Strong stakeholder management, planning, and problem-solving capabilities within fast-paced environments.

  • Excellent communication and customer relationship management skills.

  • Experience using operational and scheduling systems such as SAP, SmartSheet, CMMS, or similar platforms.

  • Strong understanding of compliance, GMP standards, and laboratory operational procedures.
