Job Description
Senior Personal Assistant - HEO (up to 12-month, Detached Duty/Loan or Fixed Term)

Full Time, Part Time/Job Share, Flexible Working

Location: 102 Petty France, London. Hybrid working model with a minimum of 60% on base location.

Salary: New entrants - minimum of pay range. Existing civil servants - better of promotion terms or transfer terms, or minimum pay range.

Job Overview

You will work in a fast paced environment supporting senior leaders, managing diary, inbox, and a range of business support functions. You will also lead a small team of 2 PAs.

Key Responsibilities
  • Managing diary and inbox for the Director and Deputy Directors, arranging meetings and travel, resolving conflicting priorities.
  • Preparing meeting papers and briefing materials, organising OneNote folders, printing for day diary.
  • Align own in office days with Director's requirements and provide appropriate in office cover.
  • Relaying views and opinions of senior leaders to staff and stakeholders.
  • Co ordinating with Head of Office and Senior Business Manager to support leadership and Directorate priorities.
  • Preparing agendas, actions, booking rooms, managing logistics.
  • Co ordinating contributions to senior leadership communications and updates.
  • Building and maintaining relationships across the Ministry, partners and external stakeholders.
  • Providing flexible support and cover across the wider team as required.
  • Co ordinating stand ups, information sessions and engagement activities.
  • Supporting business continuity, reward & recognition, finance returns, travel reporting, corporate contributions.
  • Co ordinating joiner and leaver processes, maintaining records and distribution lists.
Essential Skills and Experience
  • Proficient in Microsoft Outlook, Word, Excel, PowerPoint, OneNote and Teams.
  • Excellent oral and written communication skills, able to build relationships and influence at all levels.
  • Excellent organisational, time management and prioritisation skills, delivering to tight deadlines.
  • Proactive, exercising good judgement and making informed decisions on behalf of senior leaders.
  • Highly resilient with a "can do" attitude.
  • Able to work independently and collaboratively.
Desirable
  • Experience supporting senior leaders or directors' diary, inbox and meeting management.
  • Experience coordinating policy commissions and briefing requests.
  • Familiarity with business support functions.
