Employment Type PermanentLocationRole Profile We have a fantastic opportunity available to join Mediolanum International as Senior Organisation Manager.This is a key support and leadership role providing high-impact strategic, operational, and portfolio management support to the Chief Organisation Officer. The successful candidate will act as a trusted right hand for the Chief Organisation Officer, helping drive the project portfolio, challenging the business on content and process, and coordinating cross-functional activities across Mediolanum International Funds (MIFL) and Mediolanum International Life (MIL).The role requires someone who can operate with a high degree of autonomy, interact confidently with senior stakeholders and the leadership team (Chief Investment Officer, Chief Financial Officer, Chief Business Officer, Chief Operations Officer, Chief Risk Officer, Chief Information Officer to name few), and coordinate and guide a team of Project Managers and PMO Analysts.The ideal candidate will bring deep knowledge of the asset management industry (UCITS, AIFs, fund operations, distribution models), a strong consulting background (minimum 5 years in a top-tier firm), a tech-forward mindset, and genuine AI vision, enabling the Chief Organisation Officer to focus on strategic thinking and effectively support the CEO.The role is hands-on, delivery-focused, and suited to an individual with strong analytical capability, structured thinking, excellent communication skills, and proven experience working in complex, regulated financial services environments with a solid background in management consulting.Duties •Support and drive the end-to-end management of the project portfolio, including RAG status, milestone tracking, financials (change budget vs actuals), delivery capacity, and risk management.•Prepare and contribute to the documentation for the Project Portfolio Committee, AI Steering Committee, and Management Committee.•Support portfolio prioritisation, demand management, and resource allocation in alignment with MIFL/MIL strategic objectives.•Challenge project sponsors and business owners on scope, timelines, costs, and benefits realisation.•Ensure adoption and continuous improvement of the Mediolanum Project Framework.•Produce structured status reporting, RAID logs, project artefacts, and steering-pack content.•Contribute to the definition of the change plan and change budget for the year in collaboration with all departments, the CEO, and Finance.•Act as key support to the Chief Organisation Officer, representing her at senior leadership forums, steering committees, and cross-functional meetings when required.•Prepare executive-level presentations, board papers, decision materials, and narrative reports for senior leadership, Board of Directors, and Group stakeholders in Milan.•Contribute to strategic initiatives including organisational design, operating model reviews, and transformation programmes.•Build briefing documents and narrative materials that enable effective communication at senior and Group level.•Bring solid understanding of the asset management industry (fund structures, investment processes, distribution models, regulatory landscape - UCITS, AIFMD, MiFID II, ESG/SFDR, DORA) to challenge the business on content, processes, and operating models.•Identify inefficiencies, propose improvements, and support process optimisation across departments.•Benchmark MIFL/MIL practices against industry standards and best practices.•Act as a credible interlocutor with Investment, Operations, Product, Risk & Compliance, and Finance teams on substantive business matters.•Participate in workshops, interviews, and working sessions across the business to collect requirements and synthesise insights.•Work closely with the IT department (CIO and delivery teams) on technology-driven projects, ensuring alignment between business needs and technology solutions.•Champion AI adoption and digital transformation initiatives across the organisation.•Contribute to the AI Steering Committee with ideas and analysis on AI use cases in asset management operations.•Promote data-driven decision-making through dashboards, KPIs, advanced analytics, and automation.•Assist with the development of all systems in use by MIL and MIFL, in collaboration with User Departments and IT providers.•Coordinate and guide Project Managers and PMO Analysts within the Organisation function.•Support objective-setting, provide coaching, and contribute to performance management across the team.•Help build team capability in project management, analytics, governance, and industry knowledge.•Foster a culture of accountability, collaboration, and continuous improvement.•Coordinate with external contractors (Project Managers) when needed.•Build and maintain strong working relationships with senior stakeholders and department heads across MIFL and MIL.•Act as a trusted partner, facilitating cross-departmental collaboration and ensuring alignment of priorities.•Liaise with Group Organisation departments in Milan to ensure alignment with Group standards and initiatives, and to assist in achieving a standard Group approach where relevant and beneficial.•Support the management of relationships with external consultants and service providers where relevant.•Prepare communication materials for internal announcements, training sessions, and organisational updates.•Ensure maintenance of all corporate governance documents (policies, organisational structures, investment processes, Company descriptions, etc.).•Ensure accurate documentation, version control, and traceability of decisions, procedures, and governance artefacts.•Support organisation-level reviews, regulatory preparations, and audit-related requests.•Support the Projects Committee on behalf of the Chief Organisation Officer, including chairing when delegated.Skills & Competencies •Strong project and portfolio management skills (Agile, Waterfall, hybrid methodologies).•Advanced analytical and data interpretation skills.•Proficiency in creating executive-level presentations and board-quality materials.•Familiarity with tools such as Jira, Confluence, Power BI, Azure DevOps, Visio, or similar.•Strong understanding of AI/ML concepts and practical applications in financial services.•Financial acumen - ability to manage change budgets, forecasts, and cost tracking.•Strong ability to synthesise complex information into clear executive-level narratives.•Strategic thinking with hands-on execution capability.•Structured problem-solving and analytical rigour.•Excellent communication and stakeholder management at all levels.•High degree of ownership, autonomy, and accountability.•Ability to challenge constructively while building trust and relationships.•Resilience, adaptability, and comfort with ambiguity.•Confidence and credibility when engaging with senior leadership.Qualifications & Experience •6-10 years of professional experience, with a minimum of 5 years in a top-tier management consulting firm.•Proven experience in or strong exposure to the asset management / investment funds industry, with a solid understanding of UCITS, AIFs, fund operations, distribution models, and the regulatory landscape (AIFMD, MiFID II, SFDR, DORA).•Track record of contributing to or managing complex, cross-functional project portfolios in regulated financial services environments.•Experience interacting with senior stakeholders and leadership teams, with demonstrated ability to influence and challenge constructively.•Experience coordinating or managing small teams and supporting team development.•Exposure to Board-level materials and Group-level reporting is a strong advantage.Applications Close Date
