Summary of Role & Key Responsibilities Summary of Role
The Senior Office/Facilities Manager is responsible for overseeing the strategic and operational management of all facilities services across multiple sites, ensuring safe, compliant, efficient, and cost-effective environments for employees and visitors. This role involves leadership of the facilities team, budget management, procurement, and stakeholder engagement to deliver best-in-class service aligned with business objectives.

Key Responsibilities
  • Lead and manage all hard and soft facilities services including maintenance, cleaning, security, catering, waste, and reception services.
  • Ensure compliance with all statutory and regulatory requirements including Health & Safety, fire safety, building regulations, and environmental standards.
  • Develop and manage the annual facilities budget, ensuring effective cost control and value for money through supplier negotiation and contract management.
  • Manage FM contracts and service level agreements (SLAs), ensuring performance monitoring and continuous improvement of suppliers and contractors.
  • Plan and execute preventative and reactive maintenance programmes, ensuring minimal disruption to operations.
  • Oversee facilities-related projects such as office refurbishments, relocations, or capital works, ensuring delivery on time and within budget.
  • Drive sustainability initiatives, including energy management, waste reduction, and carbon footprint tracking.
  • Pro-actively promote health & safety to deliver a safe working environment for all employees. This will include implementing and maintaining policies, conducting risk assessments, managing training, implementing safety procedures and addressing weaknesses in performance.
  • Act as a primary contact for emergency response and business continuity planning related to buildings and infrastructure.
  • Line manage and support the development of the facilities team, promoting a culture of high performance and continuous improvement.
  • Collaborate with internal stakeholders (HR, IT, Legal, Operations, Corporate Responsibility) to support business needs and space planning requirements.
  • Ensure robust systems are in place for asset management, statutory compliance tracking, and facilities reporting.

Key Requirements, Skills Knowledge & Expertise Key Requirements
Essential:
  • Proven experience in a senior facilities management role across multi-site operations.
  • Strong knowledge of UK Health & Safety legislation and building compliance requirements.
  • Budget management experience with a focus on cost efficiency.
  • Experience in contractor and vendor management, including tendering and contract negotiations.
  • Excellent leadership and team management skills.
  • Strong interpersonal and communication skills, with the ability to influence senior stakeholders.
  • Project management experience in delivering FM-related capital projects.

Desirable:
  • Relevant professional qualification (e.g., IWFM Level 5 or 6, NEBOSH, IOSH).
  • Experience working in a regulated industry or corporate environment.
  • Knowledge of sustainability frameworks (e.g., ISO 14001, BREEAM, Net Zero practices).
  • Working knowledge of global Health & Safety legislation (ideally in US, Canada, Europe and Philippines)
