About the organisation


Our client is a European non-profit association playing a key role in the sustainable transition of the process industry. It brings together members from ten major industrial sectors and research stakeholders, with the mission to co-develop innovative technological solutions that help reduce emissions, optimise resources, and accelerate circularity.


The association acts as a strategic interface between its members and the public sector through major publicly funded partnerships. Its work helps define research priorities, facilitates access to funding for R&I projects, and supports a European ecosystem of industrial, scientific, and institutional actors.


Based in Brussels, the team consists of six professionals with complementary and versatile profiles, who share values of collaboration, trust, respect, and autonomy.


To support its internal development, the organisation is opening two central and hybrid positions: one Senior and one Junior.


Purpose of the position


To support the organisation's evolution, a central hybrid role is being created, combining day-to-day financial responsibilities, administrative coordination, and governance support.

As Senior Finance & Governance Coordinator, you will act as the guardian of financial reliability, a trusted support to the management, and a key facilitator of the association's internal operations. You will take on a transversal role, with a high level of autonomy, in service of an ambitious European mission.


Your responsibilities


Financial & administrative tasks ( 60%)


  • Operational follow-up of the budget (revenues, expenses, payments) in Excel and reconciliations with accounting
  • Preparation, issuance and tracking of invoices (membership, events, etc.)
  • Verification of financial data (cross-checking, analytical monitoring, gap analysis)
  • Preparation of financial reports for the Board of Directors and the General Assembly
  • Monitoring membership contributions, reminders, and coordination with the accountant
  • Active collaboration with members to ensure smooth and accurate financial follow-up
  • Maintenance and accuracy of financial data in the CRM system


Governance, organisation & support ( 40%)


  • Management of the Executive Director's agenda (internal/external meetings, EU institutions, members )
  • Logistical and document preparation for statutory meetings (Board, General Assembly): invitations, supporting materials, minutes, and follow-up
  • Administrative onboarding of new members (application, documents, tracking, offboarding if applicable)
  • Drafting of structured, professional and diplomatic documents for internal and external stakeholders
  • Cross-functional coordination of administrative support tasks: formatting, proofreading, handling of confidential or legal documentation
  • Active contribution to the continuous improvement of internal tools and administrative processes


Your profile


Technical skills


  • Advanced command of Excel (conditional formulas, cross-checking, reporting, etc.)
  • Proven experience in budget monitoring, invoicing, reconciliation or financial support
  • Proficiency with collaborative tools (CRM, SharePoint, online survey and voting platforms)
  • Strong organisational and documentation management skills
  • Excellent written and spoken communication skills in both French and English
