Job Description
Key Responsibilities:
1.Supplier Management
- Maintain relationships with external vendors and service providers.
- Manage contracts, renewals, and office service agreements.
- Ensure invoices are processed and recorded accurately.
2.Fleet Management
- Oversee company vehicle procurement/leasing, insurance renewal, annual inspections, and maintenance coordination.
- Develop vehicle usage policies and monitor driver compliance (e.g., mileage tracking, fuel management).
3.Office Environment Maintenance
- Ensure office facilities (HVAC, lighting, security systems) are fully functional and coordinate repairs.
- Manage office supplies inventory and optimize procurement processes.
4.Employee Support & Needs Coordination
- Collect and prioritize employee requests (e.g., workspace adjustments, IT support).
- Act as a liaison between staff and cross-functional teams (HR, IT, Finance).
5.IT Asset & Systems Management IT
- Manage procurement, maintenance, and lifecycle of IT equipment (e.g., printers, computers, peripherals).Troubleshoot hardware issues, coordinate repairs with external vendors, and minimize downtime.
- Oversee user account provisioning, access permissions, and backend system maintenance (e.g., email, internal tools).
6.Additional Responsibilities
- Build and maintain the company's documentation archive; assist various departments in communicating with authorities, such as the tax authority, chamber of commerce, immigration authorities, and recycling agencies.
- Organize internal events and meetings, including logistics and budget control.
- Assist in administrative budget planning and expense tracking.
Qualifications:
- Valid EU driver's license (Class B minimum) and clean driving record.
- Fluent in Dutch and English (written & spoken); additional EU languages are a plus.
- 3-5 years of administrative experience, preferably in multinational environments.
- Strong organizational skills with ability to multitask under pressure.
- Service-oriented mindset with teamwork spirit and strong execution capability.
- Proficiency in MS Office and familiarity with fleet/office management software.
