Scanning Officer (Manage Transactions)

Newport, Wales (Hybrid Working)

£14.42 per hour

9-month temporary contract

Brook Street is delighted to be recruiting for a Scanning Officer on behalf of a respected Public Sector organisation based in Newport. This is an excellent opportunity to join a dynamic and supportive team, with a strong focus on delivering high-quality Intellectual Property (IP) services.

Key Responsibilities
  • Sort and manage incoming post, distributing to relevant teams
  • Scan and process documents using internal systems (e.g. Kofax)
  • Accurately capture Trade Mark and Design applications
  • Examine applications and legal documentation in line with relevant legislation
  • Identify and communicate any discrepancies or objections clearly and professionally
  • Update internal registers and systems with high accuracy
  • Upload and manage emails and attachments within internal systems
  • Respond to queries from internal and external customers via phone, email, and letter
  • Provide clear explanations for decisions and offer guidance where needed
  • Support customer service operations, including call handling and inbox management
  • Collaborate with colleagues via Teams and contribute to wider organisational initiatives
  • Engage with ongoing transformation programmes and team activities
Hybrid Working
  • Minimum 20% office attendance (1 day per week)
  • Full flexibility required during the initial 6-week training period
  • Additional office attendance may be required for training or business needs (sometimes at short notice)
What we're looking for
  • At least 1 year of administrative experience
  • Strong organisational and time management skills
  • High level of attention to detail and accuracy
  • Confident IT skills and ability to learn new systems quicklyExcellent written and verbal communication skills
  • Ability to work independently and as part of a team
