To expand our team, we are looking for a Sales Back Office Team Leader.


Role description:

The Sales Back Office Team Leader is responsible for managing and coordinating the activities of the Italy and export back office team, with a focus on: order management, participation in tenders, shipment monitoring, sales network support and customer care. He collaborates across the board with internal functions and ensures that commercial and operational processes are carried out effectively, in compliance with industry regulations and company standards.


Main responsibilities:


  • Coordinates and supervises the activities of the Italy and export sales back office team, ensuring operational efficiency and quality;
  • Manages the entire customer order cycle: receipt, entry, confirmation, progress monitoring, fulfillment and invoicing;
  • It monitors and coordinates national and international shipments, interfacing with logistics and couriers to ensure punctuality and traceability;
  • Makes sure needed documentation for export shipments is made available;
  • Manages and resolves problems related to delays, shortcomings, anomalies and after-sales complaints;
  • It acts as a point of reference for the customer, offering a timely and professional customer care service;
  • Coordinates participation to tenders, dealing with:
  • Analysis of tenders and tenders documentation;
  • Collection of needed technical, administrative and economic documentation;
  • Coordination of deadlines and management of electronic submissions;
  • Supports the sales team in the preparation of offers, price lists, contractual conditions and specific customer requests;
  • Collaborates with other departments (Logistics, Quality, Administration) to ensure alignment between sales and operations;
  • Monitor KPIs and reports on team activities (fulfillment times, NPS, race performance, open/solved tickets);
  • It proposes corrective actions and process improvements, also with a view to digitization;
  • Trains, motivates and supports the team to ensure professional growth and cohesion;



Requirements:


Formation:

  • Diploma or degree preferably in the economic, managerial, legal fields;

Experience:

  • 3-5 years in similar roles (commercial back office, customer service, tender support);
  • Experience in managing tenders and coordinating operational teams;
  • Preferred origin from the medical device or pharmaceutical sector;

Technical skills:

  • Knowledge of the order-delivery cycle and distribution logics in the healthcare sector;
  • Proficient with INCOTERMS
  • Familiarity with race portals (MEPA, SINTEL, START, etc.);
  • Knowledge of the SAM management system is appreciated;
  • Excellent command of Excel and Office;
  • Excellent knowledge of the English language;
  • Data Management;

  • Strong attitude to customer focus;
  • Good communication, interpersonal and time management skills;
