Job Description

Kenny-Whelan (a specialist division of the CPL group) in partnership with our Client (Global leader in Power Solutions) is hiring a HR Administrator to provide essential day-to-day administrative support to the HR function.

Position Overview:

The HR Administrator will provide essential day-to-day administrative support to the HR function. This is an excellent opportunity for an individual who is passionate about people and is looking to build a career in HR or Talent Acquisition. Working closely with the wider HR team, the successful candidate will play an important role in supporting the recruitment of General Operatives and hourly-paid staff, managing a bespoke candidate assessment process, and ensuring the smooth execution of core HR processes across the employee lifecycle.

Key Responsibilities:
  • Coordinate end-to-end recruitment administration for General Operative and hourly-paid staff vacancies, including posting roles, scheduling interviews, and managing candidate communications.
  • Maintain applicant tracking records and ensure all candidate information is accurately captured and stored in line with GDPR requirements.
  • Issue offer letters, contracts of employment and pre-employment documentation in a timely and accurate manner.
  • Support the onboarding of new employees, including preparation of starter packs, coordination of induction schedules and completion of pre-employment checks.
  • Maintain and update employee records on the HR Information System (HRIS), ensuring data accuracy and compliance at all times.
  • Process HR administration including contract changes, probation reviews, leaver documentation and references.
  • Assist with payroll administration by ensuring employee data changes are communicated accurately and on time.
  • Support the coordination of employee relations matters, including scheduling meetings, taking notes and maintaining appropriate records.
  • Assist with the administration of performance management cycles, including tracking completion of reviews and development plans.
  • Help coordinate employee engagement initiatives, surveys and wellbeing activities.
  • Produce HR reports and data summaries as required, using Excel and the HRIS to track key people metrics.
  • Respond to day-to-day HR queries from employees and managers, escalating where appropriate.
  • Contribute to the continuous improvement of HR processes, templates and documentation.
  • Carry out any other general HR administration duties as required to support the team.
Requirements:
  • Approximately 3 years' experience in an administrative role, ideally within an HR, recruitment or people function.
  • Bachelor's degree in HR, Business, Psychology or a related discipline is desirable but not essential where relevant experience can be demonstrated.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) - this is essential.
  • Demonstrated experience with, or a strong understanding of, AI productivity tools such as Claude, ChatGPT or similar - essential.
  • Experience working with an HRIS or ATS is an advantage.
  • Excellent attention to detail and a high degree of accuracy in all administrative tasks.
  • Strong organisational and time management skills with the ability to manage multiple priorities simultaneously.
  • A professional and discreet approach, with the ability to handle sensitive and confidential information appropriately.
  • Good understanding of GDPR and data protection principles as they relate to employee and candidate data.
  • A genuine interest in pursuing a career in HR or Talent Acquisition is highly desirable, though not essential.
