Job Description
Job Title and Location

Programme Assistant - SafeMates Scotland

Location: Central Belt, Dundee or Inverness (hybrid role between home and various face-to-face events across Scotland)

Contract: Fixed Term until March 2029

Hours: 21 hours per week (typically Monday - Friday)

Salary: £25,433 FTE (pro rata for part-time) per annum

About the Role

Are you passionate about making a difference in your community? Could you provide a high level of administrative and office support to the SafeMates Scotland (Cashback for Communities) programme? We have an opportunity for an ambitious and well organised individual with administrative skills to support the programme.

A Day in the Life
  • Programme Support: Administratively supporting the Manager and team, organising logistics, venues, travel, and event communications. Updating and maintaining accurate records of attendance and programme engagement.
  • Monitoring, Evaluation & Reporting: Collection, processing, and organisation of evaluation data. Maintaining project databases and tracking tools to demonstrate outcomes. Assisting with internal reporting, funder reports, and secure document storage.
  • Financial & Administrative Processes: Managing financial administration by processing expenses, invoices, and programme spending. Maintaining compliant financial records while overseeing ordering and stock of materials.
  • Communications & Engagement Support: Drafting content to promote the SafeMates programme and its opportunities internally and externally. Liaising closely with delivery staff, volunteers, and partners to ensure smooth activity coordination.
To be a Successful Programme Assistant
  • Proven administration experience, including financial processes, database knowledge, and data analysis.
  • Ability to work independently with minimal supervision and as part of a wider team.
  • Strong interpersonal and communication skills.
  • Excellent organisational skills with ability to meet deadlines and manage multiple priorities.
  • Proficiency in IT applications (MS Office and bespoke systems).
  • Experience supporting monitoring and evaluation, including project reporting.
