Role OverviewWe are looking for a Receptionist to join our Facilities Management team at Formula1's London office on a 12 month fixed term contract. Reporting into our Front of House Supervisor, this role will support the provision of professional Receptionist and associated services.
Responsibilities- Provide a professional Reception service ensuring courteous and warm welcoming of visitors and staff, offering refreshments to invited guests and providing storage of personal items.
- Manage and oversee visitor, employee and contractor access passes to the F1 HQ (SJM) in line with internal policies.
- Ensure incoming calls are answered professionally, promptly and with discretion.
- Ensure incoming emails are answered appropriately and promptly, escalating any issues to the Front of House Supervisor.
- Support and assist the Front of House Supervisor with ad hoc requests made by Senior Stakeholders, ensuring seamless service delivery, including administration, catering, and concierge service for VIP guests.
- Make meeting and room bookings and manage the calendar, liaising with staff about changes and guests.
- Support Catering and VIP meeting room and event set up.
- Assist with event delivery.
- Manage incoming and outgoing post, including making DHL, Adisson Lee and Royal Mail bookings, and ensuring the security of incoming post.
- Support the creation of Purchase Order Requests and subsequent acceptance of Purchase Orders on the company 'Purchase to Pay' (P2P) system, for SJM goods and services.
- Make taxi bookings as requested and keep records up to date, including completion of relevant invoices.
- Report building or cleaning issues to the facilities team.
- Assist with the management of catering, stationery and stock control, as well as other ad hoc purchases.
- Coordinate with on site cleaners and other service providers as required.
- Assist with departmental administration, including credit card and petty cash reconciliation.
- Report all incidents, accidents and significant near misses to Health & Safety.
- Distribute race passes and uniforms prior to race weekends.
- Develop and maintain great working relationships with key stakeholders.
- Act as a Fire Warden.
- Support the CEO office with VIP à la carte service for the CEO and his guests as and when required.
- Support the CEO office with ad hoc activities such as administration, post and courier queries and bookings, meeting room bookings and changes.
- Work in compliance with discretion, Security & Access Control Procedures and etiquette standards.
- Excellent administration skills.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams).
- Experience in document formatting and editing.
- Experience in Corporate Hospitality Logistics coordination desirable, but not essential.
- Previous experience as a receptionist in a fast paced, premium service corporate environment.
- Personable with excellent communication skills.
