Purchasing / Business Support Executive

The Purchasing / Business Support Executive is responsible for the purchasing of non-cost of sales requirements and providing comprehensive support across facilities management and general business support.
With an understanding of buying / procurement, you will demonstrate organisation and attention to detail which are essential for this role along with drive to deliver and the ability to question the status quo. Reporting to the Director of HR, you will also be involved in booking travel, hosting visitors, along with providing cover for HR and Finance roles. This role will be varied and require great communication skills both oral and written along with strong IT skills.
Responsibilities / Objectives- Purchasing for non-cost of sales and general business items such as consumables, IT equipment (Laptops, screens etc), etc.
- Coordinating facilities management requests and requirements.
- Visitor Hosting including room preparation and refreshments
- Coordinating IT equipment
- Cover for other business support roles (Supply Chain, HR, Finance)
This is not an exhaustive list of tasks but is representative of the main areas of activity.
Purchasing (Primary focus)
- Source and procure non-cost of sales goods and services
- Manage supplier relationships and negotiate contracts
- Raise and process purchase orders and track deliveries
- Maintain procurement records and ensure budget compliance
- Communicate order and delivery times lines to relevant stakeholders in a timely manner
Facilities Management
- Coordinate office maintenance, repairs and service contracts
- Ensure compliance with Health and Safety standards
- Support with the supply and allocation of office equipment for both on site and remote teams.
General Business Support
- Reception duties including answering incoming calls, welcoming and assisting visitors ensuring a professional experience
- Manage the meeting rooms ensuring they are always presented to the highest standard, stocked and ready to use.
- Coordinate hospitality and front of house services.
- Arrange travel for colleagues across all departments following procedures and always aiming for the most cost-effective approach.
- Support with administrative tasks across all departments
- Provide cover for colleagues in business support roles such as HR, Supply Chain and Finance.
- Other tasks as appropriate for your role.
Key Skills and attributes
Preferred
- Experience in a purchasing / buying department
- Experience using finance software / ERP
- Exposure to HR, finance or supply chain functions.
Previous purchasing experience preferred
