Are you a highly organised coordinator who can keep a busy retrofit programme running smoothly without needing to be on site? We are looking for a remote Project Coordinator to keep our subcontractors, Site Manager, inspections, materials and residents all moving in the same direction.
About the RoleOur projects are delivered under the Warm Homes: Local Grant and Warm Homes: Social Housing Fund schemes. Each project has a field-based Site Manager who runs things in person on site. Your job is to make sure everything around them is lined up: the right trades turn up on the right day, materials arrive when they are needed, inspections happen on time, and every resident knows exactly what is happening at their home and when.
This is a fully remote role. You will work from home, using our project management systems, phone and email to coordinate everyone involved.
Key Responsibilities- Subcontractor and installer coordination: Book and schedule subcontractors and installers across multiple live properties, confirm attendance, and keep everyone up to date as plans change.
- Site Manager support: Work closely with the Site Manager every day, acting on what they flag from site and making sure they have what they need to keep work moving.
- Inspections: Arrange the inspections and visits our own team needs to carry out, fitting them around the works programme so jobs are not held up.
- Materials coordination: Order materials, organise deliveries and collections, and make sure each property has what it needs before work starts.
- Resident communication: Keep residents fully informed before, during and after the works: confirming appointments, explaining what will happen, giving notice of changes and answering their questions promptly and courteously.
- Scheduling and tracking: Maintain an accurate, up-to-date schedule and project records, and flag risks or delays early so they can be resolved before they cause problems.
- Documentation: Help make sure the paperwork, photos and evidence needed for each job are collected and filed correctly for compliance and funding.
- Experience in project coordination, scheduling or operations, ideally in retrofit, construction, insulation, energy efficiency or social housing
- Excellent organisational skills and the ability to juggle many moving parts across multiple sites at once
- Confident, clear and friendly communication by phone and email, with residents, subcontractors and colleagues alike
- Comfortable working remotely and managing your own day without supervision
- Methodical with digital project management systems and spreadsheets
- Strong attention to detail and follow-through
- Experience on Warm Homes, ECO or similar funded schemes
- Resident liaison experience, particularly with housing association or council tenants
- Working knowledge of PAS 2030/2035 and retrofit compliance requirements
- Experience coordinating a subcontractor base of multiple trades at the same time
- A track record of improving systems and processes on your own initiative
- A fully remote role, with no commute
- A growing pipeline of social housing and private sector retrofit work
- A clear path to grow with the business as we open up new areas
