Project Coordinator / Building Services Support (Temporary Contract)

Location: Galway (On-site)

Working Hours: Monday to Friday, 9:00am to 5:00pm (35-hour week)

Contract Type: Temporary Assignment

About The Company

Our client, is one of Ireland's leading universities, with a diverse and complex campus estate supporting teaching, research, laboratory, administrative, and student facilities. The Buildings & Estates team is responsible for maintaining critical infrastructure and delivering projects that support the continued development and operation of the university campus.

The Opportunity

We are seeking a Project Coordinator / Building Services Support professional to join the University's Buildings & Estates team on an immediate temporary basis.

Working closely with the Head of Building Services, Mechanical Supervisor, Electrical Supervisor, and wider Estates team, you will provide project and operational support across a range of infrastructure and facilities projects. A key focus of the role will be supporting the Lab Gases Infrastructure Upgrade Programme, while coordinating a variety of building services, maintenance, and estates-related activities across the campus.

This position is ideally suited to candidates with experience in project coordination, facilities management, engineering, construction, maintenance, or technical operations environments.

Key Responsibilities

  • Support the planning, coordination, and delivery of small to medium-scale Buildings & Estates projects.
  • Coordinate project schedules, stakeholder communications, site access requirements, and project close-out activities.
  • Support the Lab Gases Infrastructure Upgrade Programme, including contractor liaison, access coordination, programme tracking, and issue resolution.
  • Assist with reviewing RAMS (Risk Assessments and Method Statements), work planning, and project documentation.
  • Liaise with internal stakeholders, contractors, consultants, and external service providers to ensure efficient project delivery.
  • Support mechanical, electrical, and building services-related inspections and follow-up actions.
  • Assist with compliance documentation, service reports, asset information, and operational reporting requirements.
  • Coordinate maintenance and project actions through facilities management and helpdesk systems such as PEMAC or equivalent.
  • Support business continuity across critical building services including HVAC, electrical systems, water services, life-safety systems, and laboratory infrastructure.
  • Assist in the planning and coordination of MV/electrical shutdowns and other critical infrastructure works, including communication, contractor management, and documentation.
  • Provide additional support to the Buildings & Estates team as required.

Experience Required

  • Experience within project coordination, facilities management, estates, engineering, construction, maintenance, or a technical operational environment.
  • Proven experience coordinating contractors, consultants, suppliers, or multidisciplinary teams.
  • Strong organisational skills with the ability to manage multiple priorities and drive actions to completion.
  • Excellent communication and stakeholder management skills.
  • Working knowledge of health & safety requirements, risk assessments, method statements, site access controls, and safe systems of work.
  • Proficiency in Microsoft Office and experience using maintenance management, helpdesk, or project tracking systems.
  • Ability to coordinate planned works, minor projects, shutdowns, and operational activities while maintaining accurate records and documentation.
  • Flexibility to support occasional out-of-hours planned works and critical infrastructure shutdowns when required.

Desirable Experience

  • Experience working within higher education, healthcare, laboratory, industrial, commercial, public sector, or complex facilities environments.
  • Exposure to building services, M&E systems, utilities, technical facilities, or infrastructure upgrade projects.
  • Familiarity with BMS, energy management initiatives, asset management systems, and maintenance reporting.
  • Experience coordinating permits, RAMS, contractor performance, procurement activities, service reports, and project close-out documentation.
