Job Description
Responsibilities
  • Provide administrative and analytical support to the Program Management Office.
  • Provide critical data support to the Company Program Management team and Technical Support teams across the United States and abroad.
  • Conduct program tracking and forecasting, project evaluation and monitoring, maintain compliance with government regulations, and perform data analysis relevant to project tasks.
  • Create detailed schedules and tracking matrices to support contract milestones.
  • Coordinate with project stakeholders to ensure quality deliverables are submitted in accordance with contract requirements.
  • Provide metrics and tracking support on design contract deliverable submission.
  • Provide detailed plans of action and deficiency reports for contract deliverable reviews to support project objectives and schedules.
  • Work with multi system integrated product teams and conduct extensive reviews of reports and documents to ensure they meet specifications prior to submission to the Government.
  • Create and maintain departmental processes and procedures documentation.
  • Create and maintain presentation materials for and support quarterly Program Management review events.
  • Cross train other Project Analysts to support the department.
  • Identify opportunities for improvements or efficiencies and present and implement approved opportunities.
  • Perform other duties as instructed.
Reporting Relationship

This position will be reported to the Department Manager.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Qualifications
  • High school graduation or GED plus two or more years of high level administrative support experience.
  • Bachelor's degree in Business Administration desired; an equivalent combination of education and experience may be considered.
  • Preferred: Experience in the USCG/DoD/U.S. Navy or another government environment providing program and administrative support to senior level management.
  • Strong knowledge of standard office administrative practices and procedures.
  • Intermediate level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and knowledge of web based design and collaboration tools.
  • Ability to read and interpret documents such as general business periodicals, professional documents, company policies/procedures, and governmental regulations.
  • Ability to rapidly obtain, sort, filter, and analyze large volumes of data for distillation into high level reports.
  • Excellent written, oral, and presentation/communication skills and the ability to communicate effectively and forge and sustain client relationships while managing multiple work streams.
  • Ability to work independently and as part of a project team with diplomacy and tact.
  • Ability to effectively present information and respond to questions from management, government officials, and the public.

Working Conditions

The work environment is a professional office setting. Employees may be exposed to the risk of electrical shock. Noise level is low to moderate.

Physical Demands & Requirements

The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, and smartphones. Employees frequently stand, walk, use hands, reach, and maintain good vision (close, distance, color, peripheral, depth).
