About the RoleAre you a master of organisation with a passion for the technical side of the creative industry? Visual Architects is looking for a Product Master & Procurement Specialist to serve as the 'Central Hub' of our operations.
In this dual-impact role, you will be the gatekeeper of our digital inventory library ( Current RMS ) and the strategic lead for our purchasing operations. You will sit at the intersection of Sales, Construction, and Operations, ensuring that every piece of scenography we own is cataloged, priced, and ready for the world's biggest stages.
Key Responsibilities 1. Digital Asset Architecture (Current RMS)- The Source of Truth: Take full ownership of Current RMS. You will ensure every product is uploaded with 3D model links, technical specs (weight/dimensions), and high-quality environmental photos.
- Process Management: Update and enforce 'How-To' guides for product data, ensuring everything from PAT testing codes to fire retardant documents is meticulously filed.
- Rental Strategy: Set and manage rental pricing by conducting competitor research and making conscious, data-driven decisions.
- Supplier Management: Maintain the 'Supplier Bible', negotiate competitive pricing, and conduct quarterly reviews to ensure cost-effectiveness.
- Financial Oversight: Manage weekly payout reports for the accounting team and ensure all receipts and warranties are tracked.
- Logistics Coordination: Book freight and allocate drivers for pickups and deliveries, balancing high-quality standards with cost-saving measures.
- Store Management: Physically allocate item locations and implement tagging systems for new purchases (Month/Year tracking).
- The 'Picking List' Protocol: Manage the daily flow of jobs via our internal whiteboard system and WhatsApp groups, ensuring total accuracy for the warehouse team.
- Quality Control: Triage damaged items with the warehouse team, ensuring 'scratches' are sent to construction for repair and 'broken' items follow the quarantine process.
- Life-Cycle Tracking: Manage consumables (like bunting and effects) by tracking their usage lifespan to ensure sales availability is always accurate.
- A Systems Thinker: You love a clean database and understand that the magic is in the details.
- A Bridge-Builder: You can communicate effectively with technical designers, warehouse crews, and senior management alike.
- Logistically Minded: You enjoy the puzzle of freight coordination and the detective work of price comparisons.
- Proactive: You don't wait for things to break; you anticipate needs (like our annual January decluttering and store audit).
- Experience with Current RMS (or similar inventory management software) is highly desirable.
- Proficiency in Google Drive and Excel/Sheets for data management.
- Experience in procurement, supplier negotiation, or logistics within the events or construction industry.
