Provide comprehensive administrative and secretarial support to the Overseas/Private Patient Department. Responsibilities include interacting with external bodies, internal departments, and efficiently managing daily workloads and ad hoc office duties. Occasional out of hours work may be required and a flexible mindset is essential. Applicants must have a right to live and work in the UK at the time of application.
Main Duties- Support the Overseas/Private Admin Lead within the Surgical Care Directorate.
- Ensure patients enquiring about services are fully informed of costs of prospective procedures and availability.
- Provide comprehensive written quotes for treatment on request.
- Liaise with Private Insurance Companies to confirm authorization numbers before booking patients for admission.
- Add all relevant patient documentation to the consultant's records prior to appointments.
- Maintain confidentiality and security of patients' financial and personal information at all times.
- Prioritise and redirect workload within required deadlines.
- Communicate and support all personnel and departments operationally with overseas and private patient requirements.
- Ensure all patients receive appropriate documentation relating to admission/appointment and that hospital systems are updated.
- Raise invoices in a timely manner.
- Collect and reconcile payments from patients, ensuring accurate records are maintained.
- NVQ Level 3 or equivalent.
- RSA / OCR III or equivalent Word Processing skills.
- RSA / OCR III or equivalent Audio typing skills.
- Knowledge of Medical Terminology.
- Shorthand skills.
- Experience with Microsoft Office, particularly Access and Excel.
- Ability to work effectively as part of a team.
- Significant experience in a similar role or equivalent knowledge.
- Self motivated and able to work with limited supervision.
- Use own initiative and work independently.
- Manage and prioritise own workload.
- Maintain control of sensitive and stressful situations.
- Accurately maintain computerised and manual filing systems and documentation.
- Supervise and motivate a team.
- Up to date knowledge of Department of Health overseas policies.
- Able to work the required hours and undertake the duties outlined.
- Build and maintain good working relationships.
