Job Description

We are seeking a professional and friendlyReceptionist / Prescription Clerk to join our team. The ideal candidate will bethe first point of contact for our patients and visitors, providing exceptionalcustomer service while managing various tasks. This role is essential inensuring the smooth operation of our GP Practice.

Main duties of the job
  • Maintaining and monitoring the Practiceappointments system
  • Processing personal requests forappointments, visits and telephone consultations and ensuring callers aredirected to the appropriate healthcare professional.
  • Processing and distributing incoming andoutgoing mail.
  • Explaining practice arrangements andformal requirements to new patients and those seeking temporary cover andensure procedures are completed.
  • Receiving and making telephone calls asrequired. Divert calls and take messages, ensuring accuracy of detail andprompt appropriate delivery.
  • Processing prescriptions in accordancewith practice guidelines
  • Computer data entry/data allocation andcollation; processing and recording information in accordance withPractice procedures.
  • Initiating contact with and responding torequests from patients, other team members and associated healthcareagencies and providers
  • Advise patients of relevant charges forprivate (non-General Medical Services), accept payment and issue receipts.
  • Clearing and re-stocking consulting roomsas required.
  • Providing administrative support to thePractice as required, including filing, photocopying and scanning.
  • Keeping the reception area, noticeboards,and leaflet dispensers tidy and free from obstructions and clutter
  • Providing cover for reception /administrative colleagues during absence due to holiday or sick leave.

Job responsibilities
  • Maintaining andmonitoring the practice appointment system
  • Process personal,telephone and e-requests for appointments.
  • Answer incoming phonecalls, transferring calls or dealing with the callers request appropriately.
  • Signpost patients tothe correct service.
  • Explainingpractice arrangements and formal requirements to new patients and those seekingtemporary cover and ensure procedures are completed.
  • Advisepatients of relevant charges for private (non-General Medical Services), acceptpayment and issue receipts.
  • Input data into the patients healthcare records,as necessary.
  • Direct requests forinformation i.e. SAR, insurance / solicitors letters, and DVLA forms to the administrativeteam
  • Support in the management of repeat prescriptions, ensuring they areprocessed accurately and efficiently.
  • Process repeat prescription requests received by any means ofcommunication in accordance with practice protocol.
  • Ensure all prescription requests are processed and are ready forcollection within the required and expected timeframe.
  • Generate requests for medication on behalf of the patient for non-repeatitems.
  • Discuss with patients their requirements, encouraging patients to orderonly what they require.
  • Act upon compliance issues, liaising with the appropriate clinician.
  • Ensure medication reviews are arranged by maintaining an accurate recallsystem.
  • Effectively liaise with external services, i.e., district nurses, toensure medicaments are arranged for housebound patients.
  • Initiate contact with and respond to, requests from patients, team members,and external agencies.
  • Manage all queries as necessary in an efficient manner.
  • Act as a chaperone as required.
  • Be aware of your duties and responsibilities regarding currentlegislation and adhere to practice policies and procedures on SafeguardingAdults and Safeguarding Children
  • Attend a formal appraisal with their manager at least every 12 months.Once a performance/training objective has been set, progress will be reviewedon a regular basis so that new objectives can be agreed.
  • Undertake all mandatory training and induction programmes deemed suitable by thePractice Manager / Partners.
  • Be an integral part of the general practice team.
  • Support all clinicalstaff with general tasks as requested.
  • Maintain a clean, tidy,effective working area at all times.
  • Providingadministrative support to the Practice as required, including filing,photocopying, scanning, culling of notes.
  • Scanning of patientrelated documentation and attaching scanned documents to patients healthcarerecords
  • Complete opening andclosing procedures in accordance with the duty rota.
  • Participate in local initiatives to enhance service delivery and patientcare.
  • Support the Operations Manager in reviewing and updating the PrescribingPolicy and SOPs
  • Any otherduties commensurate with this position
Person Specification Qualifications
  • A good standard of education, with an expectation of having both GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and English
  • AMSPAR Receptionists Qualification
  • NVQ Level 2 in Health and Social Care
Experience
  • Experience of working with the general public
  • Experience of reception duties and/or as prescription clerk
  • Experience of working in a health care setting
