Job Purpose: The role will support the PPM Data Team in developing asset registers and planned maintenance schedules for both new and existing client contracts.
The successful candidate will ensure that all PPM data loaded into the CAFM system meets statutory compliance and contractual requirements. They will also be responsible for ensuring PPM arrangements are established and in place prior to the mobilisation of any new contracts.
Key Responsibilities Technical- Upload asset registers from Asset surveys to the Concept CAFM system and generate planned maintenance schedules
- Create PPM for all assets as required by contract and in line with regulatory requirements and best practice
- Maintain asset information in line with the OCS Asset Information Requirements or the client's specific requirements
- Ensure that all contracts have the sufficient level of PPM required for statutory requirements
- Implement efficient maintenance schedules through grouping tasks and labour loading disciplines
- Maintain SFG20 instruction sets to the latest version
- Supporting the Asset and Lifecycle Manager in managing, progressing, and resolving business and client risks relating planned maintenance and statutory/regulatory and contractual compliance
- Review bid and pricing data and implement planned maintenance schedules, whilst assessing any commercial risk
- Review asset data for integrity and implement change control processes for contracts
- Ensure that all contracts have the sufficient level of PPM required for statutory requirements
- Implement efficient maintenance schedules through grouping tasks and labour loading disciplines
- Manage queries or changes in planned maintenance programmes
- Enforce governance rules to prevent unauthorised changes to planned maintenance and asset registers
- Establish collaborative relationships with account teams, engineers, and subcontractors
- Liaise with operational management and leadership in the resolution of issues as required
- Liaise with customers directly where required and deliver best practice approaches
- Support the customer in implementing the specific requirements of their contract and operational need
- Support contract and regional teams in assembling an efficient and lean maintenance plan
- Manage different priorities of work appropriately and escalate through correct channels as required
- Implement the full requirements of the contract and raise any commercial risks to management relating to the PPM delivery
- Support the reporting of KPI performance through the PPM Plan and tasks as appropriate
- Support compliance administration team in updating PPM work orders, PPMs and assets as required
- Train and support other users of Concept as a nominated superuser.
- Maintain a register of hazards against contracts, buildings, assets, and locations in Concept, with the support of the QHSE team
- Proven experience working within building services / facilities management
- Understanding of Microsoft Office software packages
- Experience in a maintenance planning or compliance role is desirable.
- Trade experience or degree qualification in an engineering discipline are not required but are desirable
- High attention to detail and methodical in approach
