THIS POST IS FIXED TERM/SECONDMENT FOR 12 MONTHS TO COVER MATERNITY LEAVE

We are seeking a well organised and motivated Administrator to join our Physiotherapy team in Wrexham on a 12 month fixed term basis. This role provides essential administrative support to clinicians and service leads, ensuring the smooth and efficient delivery of physiotherapy services.

The post holder will be responsible for a range of administrative and clerical duties, including managing patient appointments, maintaining accurate records, processing referrals, and acting as a first point of contact for patients and professionals. The role requires excellent communication skills, strong attention to detail, and the ability to prioritise workload in a busy healthcare environment.

This is an excellent opportunity for someone with previous administrative experience-ideally within an NHS or healthcare setting-who is passionate about supporting high quality patient care and working as part of a multidisciplinary team.

Main duties of the job
  • Provide administrative support to the Physiotherapy service, contributing to the effective day to day running of the service.
  • Process referrals and manage patient appointments, including booking, rescheduling, and cancellations, in line with local procedures.
  • Act as a first point of contact for patients, carers, and professionals, dealing with enquiries in a professional and courteous manner.
  • Maintain accurate and up to date patient records on electronic and paper systems, ensuring confidentiality and compliance withininformation governance requirements.
  • Prepare clinic lists and provide routine administrative support to clinicians as required.
  • Monitor waiting lists and appointment outcomes, escalating any issues in accordance with agreed processes.
  • Work effectively with administrative and clinical colleagues to support a positive patient journey.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Qualifications and Knowledge
  • Good general standard of education (e.g. GCSE, O Level or equivalent in Maths and English)
  • NVQ level 3 or equivalent knowledge / experience
  • Basic IT skills
  • Understanding of Health Board Policies and procedures
  • Knowledge of Welsh Government waiting times guidelines
Experience
  • Previous clerical experience and knowledge of administration processes
  • Understanding of Health Board Policies and procedures
  • Knowledge of Welsh Government waiting times guidelines
Skills and Attributes
  • Empathy, tact and diplomacy when dealing with difficult situations
  • Flexible to the needs of service
  • Accurate and methodical in all aspects of work
  • Ability to use initiative and meet deadlines
  • Welsh Language Skills are desirable in understanding, speaking, reading and writing in Welsh.
  • Competent in the use of patient administration systems
