Contract Type: Ongoing contractor (initially 6 months - likely to be extended)
Day Rate: £300-350
Department: Supporting Senior Leadership (Legal & Product Teams)
OverviewWe are seeking a highly organised and proactive Part-Time Personal Assistant to support senior team members within a fast-paced Global Investment Management firm.
This role provides essential administrative and organisational support to 4/5 senior leaders across the Legal and Product teams, including Heads of Department and Managing Director-level stakeholders. The ideal candidate will be accustomed to working within large corporate organisations and able to manage multiple stakeholder requests and priorities with accuracy and professionalism.
Key Responsibilities Executive & Team Support- Provide comprehensive PA support to senior team members to enable them to operate efficiently and effectively.
- Manage multiple complex diaries, ensuring seamless travel scheduling across global time zones.
- Arrange regular global travel, including flights, hotels, visas, itineraries, and cross timezone scheduling.
- Coordinate small and large-scale meetings with internal and external stakeholders.
- Book meeting rooms, organise catering/refreshments, and ensure all logistics run smoothly.
- Prepare, print, and organise legal documents in a timely manner, ensuring sign off processes are completed accurately.
- Maintain and update Excel spreadsheets with high attention to detail.
- Prepare occasional PowerPoint presentations as required.
- Process expenses and provide general administrative support across the team.
- Strong experience supporting senior leaders in a large corporate environment.
- Proven ability to manage multiple complex diaries and international travel arrangements.
- Excellent organisational skills with a high level of attention to detail.
- Proficient in core Microsoft Office applications (Outlook, Excel, PowerPoint, Word).
- Confident communicator with the ability to liaise professionally with stakeholders at all levels.
- Ability to work proactively, handle competing priorities, and deliver to tight deadlines.
- Previous legal PA experience is beneficial but not essential.
- Professional, reliable, and proactive in approach.
- Enjoys working in a lively, sociable, and fast-paced office environment.
- Able to support multiple senior stakeholders with differing needs and priorities.
- Calm under pressure, solutions oriented, and adaptable.
