Purpose of the Role

JWA is seeking an experienced Operations Manager to oversee the organisation's internal operations, systems, and compliance. This role is central to enabling staff and services to function effectively and safely. Working closely with the CEO and senior leadership, the Operations Manager will lead on HR coordination, risk and policy management, IT and office infrastructure, data protection, health and safety, and organisational compliance. You will manage relationships with outsourced providers and ensure that day-to-day operations reflect JWA's values of compassion, dignity, and professionalism.

Key Responsibilities Operational Leadership & Compliance
  • Ensure smooth and efficient day-to-day organisational operations.
  • Oversee JWA's policies and procedures, ensuring regular reviews and staff awareness.
  • Maintain the organisational risk register and contribute to strategic risk management.
  • Ensure compliance with statutory, legal and operational requirements (e.g., H&S, data protection, insurance, contracts, etc.).
  • Act as the named Company Secretary.
HR Coordination and Culture
  • While managing the relationship with external HR consultants, oversee and support HR processes including recruitment, onboarding, exit processes and staff wellbeing.
  • Ensure timely delivery of annual appraisals and access to training and development for staff.
  • Lead on new staff inductions and maintain staff HR records, including DBS checks.
  • Support a compassionate, inclusive working culture in line with JWA values.
Premises, Contracts and Office Management
  • Oversee the management of JWA's office premises, working closely with landlords and suppliers.
  • Maintain an up-to-date contracts log and manage relationships with outsourced services (e.g., alarm, insurance, maintenance).
  • Ensure that health and safety policies and practices are adhered to, and that incident/accident records are maintained.
  • Lead on JWA's fire safety and First Aid compliance.
IT and Systems Management
  • Act as the main contact for outsourced IT support and ensure systems and equipment are fit for purpose.
  • Support staff with first-line technical issues and coordinate IT onboarding.
  • Oversee the management of telecoms systems, contracts and purchasing of equipment.
  • Ensure JWA is making best use of advances in technology and systems and continually making improvements to systems and processes.
Governance and Memberships
  • Ensure JWA's ongoing compliance with charity governance requirements.
  • Support the Board and CEO with operational preparation for board meetings and trustee support as required.
  • Oversee JWA's memberships with external bodies and represent the organisation where required.
Office Administration
  • Process general incoming and outgoing communications.
  • Manage meeting room bookings and calendars.
  • Ensure meetings and in-house events are set up appropriately, including tech, food and any logistics.
  • Ensure staff meeting notes are taken & circulated.
  • Provide reception services when needed, i.e. welcoming visitors, handling calls and messages.
General
  • Maintain professional standards and commit to self-development as necessary for the role.
  • Assist in any area of JWA administration in the absence of colleagues.
  • Attend and participate in staff meetings as required.
  • Undertake other reasonable duties commensurate with the post as required by the CEO.
Person Specification
  • Significant experience in operations or office management within the charity, public, or education sector.
  • Knowledge of HR coordination, policy management, and statutory compliance.
  • Experience in managing suppliers, contracts, and premises.
  • Understanding of GDPR and data protection best practices.
  • Confident using IT systems and coordinating outsourced IT support.
  • Strong organisational and project management skills.
  • Able to prioritise and manage a varied workload with minimal supervision.
  • Values-driven and aligned with JWA's mission to support women and girls.
  • A collaborative and approachable team member.
  • A natural problem solver with a can-do attitude.
  • Discreet and respectful when handling sensitive information.
  • Experience working within a culturally specific or faith-based setting.
  • Knowledge of the Jewish community and its values (or willingness to learn).
  • Familiarity with charity governance and supporting boards.
  • Experience supporting wellbeing and inclusive workplace culture.
