Operations Co-ordinator - Guardian Foundation
Posted 23 hours 31 minutes ago by The Guardian
Job title: Operations Coordinator
Contract type: Full time (35 hours), 12-month fixed term contract
Hybrid working: 3 days per week at Kings Place, London, 2 days remote or home working
Join our team at the Guardian Foundation and be a part of a diverse and inclusive organisation whose purpose is to promote global press freedom and access to liberal journalism. Our vision is a world where people have access to reliable information, from a diverse range of sources, strengthening their ability to hold power to account.
We are looking for an Operations Coordinator, who is excited about our work and vision and keen to develop their own expertise.
Our programmes enable change in three priority areas:
- News & media literacy: to enhance people's ability to evaluate news critically
- Voice & agency: to facilitate opportunities for inclusion in media
- Media viability: to foster the capacity of liberal media to engage people with fact-based journalism
Our programme participants are largely journalists, young people, and people who are underrepresented in the media industry, in particular, those from a lower socio-economic background, individuals from Black, Asian and Minority Ethnic groups, those who identify as LGBTQ+ and those with a disability. We recognise the value of lived experience and would welcome candidates who can draw on the knowledge and expertise gained through reflection on their own lived experiences.
We value and respect all differences (seen and unseen) in all people at The Guardian Foundation. We aspire to have inclusive working experiences and an environment that reflects the audience we serve, where our people have equal access to career development opportunities, their voices are heard and can contribute to our future.
About the Role
We are looking for a proactive and highly organised Operations Coordinator to support the smooth running of our charity. This is a varied and hands-on role where no two weeks look the same.
You'll work across the organisation, from governance and finance administration to team coordination and event support, ensuring our people and programmes have the tools and systems they need to succeed. You'll have proven experience managing multiple tasks at any one time and exceptional organisational, prioritisation and communication skills.
This role is ideal for someone with experience in operations or administration who wants to grow their career in the not-for-profit space, with future potential to develop in areas such as project management, communications or fundraising.
What You'll Do
- Keep our charity running smoothly: maintaining governance records, updating data files, and ensuring GDPR compliance.
- Support finance processes including purchase orders, invoices and payments.
- Coordinate team activities, meetings, offsites and social events.
- Ensure staff have the right tools and resources (hardware, software, training) to excel.
- Maintain and update our CRM (Salesforce) and support with funding applications.
- Assist with website content, newsletters and event logistics.
- Provide administrative support across our core functions: strategy, fundraising, communications and programmes.
About You
We're looking for someone who is:
- Experienced in operations or administration (charity, media or not-for-profit experience a plus).
- Exceptionally organised, with great attention to detail.
- Skilled at juggling multiple priorities and deadlines.
- A clear and confident communicator, both written and verbal.
- Digitally savvy; comfortable working with data, systems and tools such as Google Workspace and Microsoft Office.
- Lastly, you'll be enthusiastic and display a real passion for our work.
