Job Description

We are seeking a motivated and collaborative individual to join our team as a Operations Assistant (Hotel). In this role, you'll help the University meet its guaranteed bed night commitment at the Hyatt Hotel by managing the end to end process for accommodation reservations. You'll bring a strong focus on accurate data analysis-reconciling booking information between hotel and University systems, spotting discrepancies and trends, and producing clear, reliable reports that support contract performance, financial monitoring and a great customer experience.

In this role you will:
  • Support the administration of the hotel contract, helping to ensure the terms of the bedroom guarantee agreement are met.
  • Manage accommodation reservations on behalf of the School, Faculty and wider University, acting as a first point of contact and escalating issues where appropriate.
  • Analyse and reconcile booking data between hotel and University systems, identify trends and discrepancies, and coordinate timely resolution with colleagues and the hotel reservations team.
  • Maintain data integrity by keeping booking records complete, accurate and up to date, and ensuring reconciliation evidence is retained in line with local processes and information governance requirements.
  • Work with the Executive Education Centre and the University Conference Team to capture potential accommodation business and support forward planning.

Essential Criteria
  • Understanding of administrative processes, data quality principles, and the importance of accurate data analysis, reconciliation and record keeping.
  • Awareness of confidentiality and information governance requirements when handling customer and booking information.
  • Experience of working with administrative processes in a customer facing environment.
  • Experience of working collaboratively within a team, providing flexible support to colleagues.
  • Experience of maintaining accurate datasets/records, reconciling information from different sources, and producing routine reports and analysis (including using standard IT applications).
