Job Description
Onboarding Specialist

Location: Stoke

Duration: Fixed term contract until November 2026. Start date: 17th August.

Shift pattern: Monday - Friday 8am - 5pm, 5 days a week.

Responsibilities
  • Contact candidates by phone to arrange and schedule registration appointments
  • Manage candidate arrivals and the flow of candidates attending registrations
  • Coordinate walk in candidates and support them through the registration process efficiently
  • Conduct face to face candidate registration appointments
  • Support candidates with registrations where required, providing guidance to ensure they complete the process accurately
  • Check and verify candidate documentation, including right to work requirements
  • Guide candidates through the correct criminal record check application process, ensuring they understand the required steps and submit their application accurately
  • Ensure candidates provide accurate information and complete all required onboarding steps
  • Create and maintain candidate profiles on internal systems
  • Update internal tracking systems with accurate registration outcomes and candidate progress
  • Monitor candidates through the onboarding journey and follow up where required
  • Ensure candidates become fully compliant and ready for work
  • Manage a high volume of candidates while working towards daily and weekly registration targets, KPIs, and SLAs
  • Maintain accuracy and compliance across multiple systems
Qualifications
  • Experience within customer service, recruitment, administration, onboarding, or another candidate facing environment
  • Confident communicating with candidates over the phone, online, and face to face
  • Ability to manage high volumes of candidates in a busy environment while maintaining excellent service standards
  • Strong communication skills with the ability to guide candidates through detailed processes clearly
  • Excellent attention to detail and confidence reviewing important documentation
  • Ability to work effectively in a fast paced, target driven environment
  • Strong organisational skills with the ability to prioritise tasks and manage multiple candidates at different stages of the process
  • High level of computer literacy, particularly with MS Office and internal systems
  • Confident, proactive, and committed to delivering outstanding candidate experience
