Contract: 6 months

About the Role

We are looking for an organised and detail-focused Onboarding Case Facilitator to support the end-to-end onboarding process for new starters.

You will be responsible for managing onboarding cases, completing pre-employment checks, validating documentation and ensuring all requirements are completed accurately and within agreed timescales.

Key Responsibilities

  • Manage onboarding cases from initiation through to completion.

  • Review and validate Right to Work, identity and personal documentation.

  • Complete and monitor DBS and pre-employment/background checks.

  • Request, review and follow up on employment references.

  • Arrange and facilitate face-to-face identity verification where required.

  • Ensure all onboarding and security documentation is accurate and complete.

  • Update onboarding, HR and security systems with accurate information.

  • Request appropriate IT accounts, equipment and access for new starters.

  • Monitor outstanding checks and proactively chase candidates or relevant stakeholders.

  • Manage multiple onboarding cases while meeting agreed SLAs and deadlines.

  • Identify missing information, discrepancies or potential compliance issues and escalate where appropriate.

  • Maintain accurate records and handle confidential personal information in line with GDPR and internal policies.

  • Liaise with candidates, hiring managers and internal stakeholders throughout the onboarding process.

  • Support reporting, data validation and general administrative activities.

  • Contribute to improvements in onboarding processes and ways of working.

About You

We are looking for someone with experience in HR administration, recruitment administration, onboarding, compliance, vetting, pre-employment screening or a similar operational environment.

You should have:

  • Experience managing administrative processes from start to finish.

  • Good understanding of Right to Work, DBS, background screening or pre-employment checks.

  • Excellent attention to detail and data accuracy.

  • Strong organisational and time-management skills.

  • Ability to manage multiple cases and competing priorities.

  • Strong written and verbal communication skills.

  • Confidence communicating with candidates and internal stakeholders.

  • Ability to work independently and follow established processes.

  • Experience handling confidential and sensitive information.

  • Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.

  • Strong problem-solving skills and a proactive approach.

Desirable Experience

  • BPSS or security vetting experience.

  • Experience within a regulated, compliance-focused or secure environment.

  • Experience working with HRIS, recruitment or onboarding systems.

  • Experience working to SLAs, KPIs or high-volume workloads.

  • Previous experience with DBS, references and identity verification.
