Job Summary

We are looking for an experienced Office Manager who is extremely organised and proactive to manage the daily operations of our office. The ideal applicant would be strong in administration, skilled in communication and experienced in team management. The function involves overseeing people, maintaining office operations and ensuring a smooth workflow to support the organisation's objectives. You will play a critical part in creating an efficient, professional workplace that contributes to the overall success of our team.

Responsibilities
  • Oversee day-to-day office activities, ensuring efficiency and organisation
  • Supervise and manage administrative workforce including clerical and support staff.
  • Arrange human resources activities like recruitment, onboarding and staff development programs
  • QuickBooks Bookkeeping, Invoicing and Expense Tracking
  • Communicate with clients, suppliers and internal teams effectively by phone and email
  • Organise meetings, set agendas and take minutes to enable smooth decision-making processes
  • Maintain office supplies and equipment in functional condition
  • Develop and implement rules and procedures to optimise work flow
  • Maintain professional telephone etiquette with clients and visitors.
  • Support organisational growth by assisting with special projects as required
Experience
  • Proven experience in an office management or administrative function, particularly in a similar business
  • Supervisory experience with proven ability to lead and drive a team effectively
  • Experience with QuickBooks or other similar accounting software preferred
  • Strong understanding of human resources, covering recruitment, employee relations and compliance issues
  • Excellent secretarial, administrative and organisational abilities with an eye for detail.
  • Strong verbal and written communication abilities
  • Experience in handling office tasks with different software tools
  • Ability to effectively prioritise work in a fast-paced workplace
  • Good telephone manners and interpersonal skills to develop good relationships with clients and coworkers
