Job Description
Overview

Helping others improve and turn their lives around is the focus of Cygnet Hospital Woking. The hospital delivers mental health services in a purpose built therapeutic environment. This role is that of Office Manager, responsible for line management of the Secretarial Teams and oversight of administrative practices.

Responsibilities
  • Line manage Medical Secretaries, Reception, Hairdresser and Driver staff.
  • Ensure mandatory training is provided and attended annually.
  • Supervise staff appraisal, performance and attendance records.
  • Manage annual leave and sick leave, and monitor performance in line with Cygnet procedures.
  • Support the maintenance of non clinical and clinical personnel files and complete audits to ensure documentation is included.
  • Provide administrative support to the Senior Management Team (SMT) and attend meetings as required.
  • Take minutes of monthly management meetings and other meetings.
  • Assist the hospital management team and act as an IT contact within the hospital.
  • Help the hospital comply with CQC fundamental standards, Commissioner Standards, Quality Improvement frameworks and networks; ensure compliance data submissions target are met.
  • Participate in audit, policy and protocol development, project work and any other reasonable requests.
Qualifications
  • Experience in a similar administrative role.
  • Strong Microsoft IT skills and proficiency with Word, Excel and database systems.
  • Excellent organisational, planning and problem solving skills; ability to prioritise workload and meet deadlines.
  • Good attention to detail, time management and interpersonal skills.
  • Experience with governance processes and an understanding of local and corporate governance.
  • Ability to work autonomously and on own initiative.
  • Full UK driving licence and experience in managing administrative or HR related tasks.
