Role Overview

The Workplace Manager is responsible for the day to day operational management of HQ ("The Hive"), ensuring the workplace runs smoothly, safely, and professionally at all times. This role is a hands on operational leader, owning facilities, hospitality, health & safety, vendor management, events logistics, and office experience.

The role also provides cover for the Travel Office from time to time, ensuring continuity of service during peak periods or absence, particularly for executive and complex travel needs.

This position is critical to maintaining a welcoming, high performing, and well managed workplace that supports employees, leaders, clients, and visitors alike.

Key Responsibilities
  • Own the daily front of house operation, including reception duties, greeting visitors and team members, managing deliveries, and coordinating guest arrivals.
  • Ensure the smooth, professional running of The Hive, setting and enforcing clear standards for cleanliness, order, and presentation.
  • Manage meeting room schedules and readiness end to end, including room set up, refreshments, catering, and hosting duties.
  • Act as the primary on site host, welcoming guests, preparing tea and coffee, and ensuring a consistently high quality experience.
  • Proactively manage the office environment to maintain calm, structure, and efficiency, particularly during busy or high traffic periods.
Facilities, Operations & Health & Safety
  • Provide a 100% on site operational presence, acting as the visible owner of the workplace and first point of contact for day to day issues.
  • Serve as Fire Warden and Health & Safety Officer, ensuring compliance with HSA regulations, office security standards, and fire safety requirements.
  • Lead vendor management, contract negotiation, and cost control across office services (cleaning, waste, fruit/snacks, utilities, etc.).
  • Act as project lead for office improvements, refurbishments, and fit outs, supporting any future changes to the physical footprint.
  • Own all office supplies and subsistence management, keeping kitchens, bathrooms, and shared spaces stocked, organised, and controlled within budget.
  • Coordinate with landlords, building management, and external contractors to resolve issues quickly and effectively.
Travel Management (Ad hoc Cover)
  • Provide day to day cover for travel; including management of our tool, ensuring policies and processes are followed and ad hoc bookings.
Venue Logistics & Events
  • Lead the set up and take down of internal events held at The Hive, ensuring flawless execution.
  • Partner with event leads to advise on logistics, timelines, and best practice, providing on site delivery support.
  • Manage the stock room and optimise limited storage space, maintaining organisation and inventory control.
Executive & Client Support
  • Provide ad hoc administrative and operational support to the ELT Executive Assistant and Leadership Team as required.
People, Culture & Office Experience
  • Own all office related communications, including planned disruptions due to events, maintenance, or building works.
  • Organise HQ social events and support the delivery of the wellbeing and engagement programme on site.
Skills & Experience
  • Proven experience in workplace, office, or facilities management within a fast paced environment.
  • Strong operational mindset with the ability to manage multiple priorities simultaneously.
  • Experience managing vendors, contracts, and budgets with a commercial lens.
  • Confident communicator with a natural hosting and customer service orientation.
  • Hands on, proactive, and comfortable taking ownership and accountability.
  • Ability to remain calm, organised, and solutions focused during busy or high pressure periods.

New hires at Cubic are required to work onsite five days a week during their six month probation period to get to know the company, their team, and our ways of working. After probation, we offer a flexible arrangement of up to eight work from home days per month, provided it aligns with business needs and performance standards. This arrangement is not a given for all roles.
