Surgical Ambulatory Clinic Administrator - Band 3

Surgical Ambulatory Clinic & Ward 208, General Surgery, Aberdeen Royal Infirmary

Salary: £29,103 - £31,409 per annum (pro rata)

Contract: 9 Month Fixed Term / Secondment

Hours: 18.5 hours per week

Job Summary

An opportunity has arisen for an experienced and organised administrator to join the Surgical Ambulatory Care and Ward 208 General Surgery team at Aberdeen Royal Infirmary. This 9 month fixed term / secondment will support the efficient running of the service and contribute directly to patient safety and hospital flow.

Job Purpose

The post holder will provide administrative, clinical support, and coordination duties within the Surgical Ambulatory Clinic. This includes maintaining accurate patient information, supporting clinical teams, coordinating clinical and radiology request forms, and ensuring effective communication across multiple hospital departments.

Main Duties
  • Coordinate daily clinical administrative duties within the Surgical Ambulatory Clinic.
  • Maintain accurate patient information using NHS Grampian IT systems.
  • Collate referral, admission, and discharge data for management and audit reporting.
  • Coordinate clinical and radiology request forms in line with service processes.
  • Request blood tests and transport/submit samples to the laboratory.
  • Assist with patient feedback processes and routine data collection.
  • Transport patients to scanning departments (e.g., Radiology) to support patient flow.
  • Work collaboratively with clinical teams, ward staff, portering services, SAS, radiology, and external agencies.
Person Requirements Essential
  • Strong administrative and organisational skills.
  • Good IT skills, including Microsoft Word and Excel.
  • Ability to prioritise tasks and work independently using initiative.
  • Effective verbal and written communication skills.
  • Ability to remain calm in a fast paced clinical environment.
  • Ability to work effectively within a multidisciplinary team.
Desirable
  • Previous experience within NHS Grampian.
  • Familiarity with NHS systems such as TrakCare.
