Schedule: Monday - Friday
Role Type: Permanent / Full Time
The RoleReporting to the National Security Manager (or Security Systems Lead), the National Security Department Administrator will provide administrative, governance and operational support across all areas of the National Security function.
The role will act as the central coordination point for security documentation, governance, compliance records, software licensing, reporting, supplier administration, project coordination and departmental information management.
Working closely with internal stakeholders, IT, HR, Procurement and external security providers, the successful candidate will ensure that the department maintains accurate records, effective document control and high standards of governance across all National Security programmes.
Main Duties and Responsibilities- Develop, review and maintain Security Policies, Standards, SOPs, guidance documents and process maps.
- Maintain document control, version control and governance registers.
- Support departmental compliance with internal governance, regulatory and audit requirements.
- Maintain software licensing records and coordinate licence renewals.
- Provide administration for Access Control, CCTV, Intruder Detection, Key Management and Visitor Management systems.
- Maintain departmental SharePoint sites, records and document libraries.
- Prepare monthly KPI reports, dashboards, presentations and management reports.
- Coordinate departmental meetings, agendas, actions and programme schedules.
- Maintain risk registers, action trackers and project documentation.
- Support procurement activities including purchase orders, supplied documentation and contract administration.
- Coordinate onboarding of staff and contractors from a security administration perspective.
- Support strategic security programmes.
- Maintain compliance evidence repositories for audits and assurance activities.
- Liaise with IT regarding software upgrades, integrations and user administration.
- Develop effective working relationships with IT, Procurement, Property, Operations and external vendors.
- Support continuous improvement initiatives and undertake additional duties as required.
- Third level qualification or equivalent experience is desirable.
- 3-5+ years's experience in an administrative, governance, security, compliance, facilities, or business support role.
- Experience maintaining controlled documentation and records.
- Experience supporting management teams and coordinating multiple workstreams.
- Experience preparing reports, presentations, and meeting documentation.
- Knowledge of audit, compliance, risk management, and document control processes.
- Experience preparing KPI reports, dashboards, presentations, and management information.
- Excellent Microsoft Office skills (Word, Excel, PowerPoint, Outlook, Teams and SharePoint)
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Experience supporting procurement, contract administration, and onboarding activities
- Relevant qualification in Business Administration, Security Management, Governance, Project Management, or a related discipline is desirable.
