Medical HR Administrative Assistant

We are seeking a dedicated and enthusiastic Medical HR Administrator to join our dynamic Medical HR team. You will assist in providing a comprehensive, timely, and efficient Medical HR admin service in relation to doctors across the Trust. The role focuses on ensuring best practices are followed in line with local and national terms and conditions of service, along with current legislation.

Your primary responsibility will be to provide efficient and excellent customer service to candidates, ensuring our recruiting managers receive top notch support to efficiently meet our hiring needs.

We are looking for someone who is quick learning, has drive and enthusiasm, and is willing to go the 'extra mile' for our customer base. Ideally we are looking for someone with knowledge of Medical & Dental Terms and Conditions (visit NHS Employers website for information), experience of recruitment processes and the ESR payroll system however training will be provided.

Main duties of the job

By joining our Medical HR Team, you'll play a key role in supporting the recruitment and management of medical staff across DBTH. You will work in a collaborative and supportive environment, with opportunities for personal and professional growth.

  • Manage the recruitment process for medical and dental staff, using Trac/NHS Jobs, link to ESR, coordinate short listing, and arrange interviews
  • Ensure compliance with NHS Employment Check Standards and Trust procedures.
  • Ensure medical staff are registered with the General Medical Council (GMC) and hold the necessary qualifications and certifications.
  • Issue contracts of employment for medical staff.
  • Maintain and update records of rotation details for Resident Doctors working under a Lead Employer arrangement.
  • Provide advice on medical and dental terms and conditions of service, policies, and procedures to Trust personnel.
  • Send information to payroll provider for the maintenance of contractual employment records on ESR and other Trust systems.
  • Ensure high standards of data quality and accuracy, maintaining compliance with Trust standards and data protection protocols.
  • Provide general administrative support, including dealing with queries, photocopying, filing, and assisting with equal opportunities monitoring.
  • Assist with training staff within the department and contribute to departmental initiatives

Job responsibilities

There are 1.4 posts available; the hours could be allocated to two part time posts or a full time and a part time post. Please advise your preference within your application.

The service is required to have an onsite presence Monday to Friday, however there is a hybrid working option. Following the induction and training period there will be the opportunity to work from home one day per week. This post will be required to work on a Friday and on site; the remaining days can be discussed.

Person Specification Knowledge & Experience
  • Experience in a relevant customer focused transactional HR/Recruitment/Administrative
  • Experience of working in a busy office environment
  • Working knowledge of Data Protection and Freedom of Information legislation
  • Comprehensive use of Microsoft Office applications e.g., Word, Excel
  • Working knowledge of Medical Staff terms and conditions
  • Experience in working in a Medical HR Department
  • Knowledge of NHS (e.g. Resident Doctor recruitment and training)
  • Awareness of 'best practice' in recruitment & selection
Qualifications & Training
  • NVQ level 2 in Business Administration or equivalent relevant qualification or equivalent relevant training and experience
  • Evidence of continued professional development
