Legal PA to Managing Partner

Link Personnel are hiring a Legal PA for an International Law Firm. We are looking for an experienced Legal PA to provide dedicated and comprehensive support to the Managing Partner and senior fee earners in the Real Estate Department. Your role will be key in ensuring the smooth running of day-to-day operations, while upholding the high standards of service and efficiency for which the team is known.
About the Team:The Real Estate team is a dynamic, well-regarded group with a reputation for sector expertise and collaborative working. The team handles a broad range of real estate matters, including acquisitions, disposals, leasing, development, and property finance. You will play an important role in supporting the team's efforts to provide high-quality services to clients, contributing to the team's reputation for excellence. You'll work alongside a team of Legal PAs across various practice areas, with support from internal colleagues such as legal assistants, document production, finance, and business development teams.
Salary: to €60k Benefits: Pension, Healthcare, Hybrid Working, Career Progression, Life Assurance. Overall Package: to €68k Key Responsibilities:Diary & Email Management:
Proactively manage and organise the diaries, emails, and schedules of senior fee earners, including anticipating conflicts and resolving them where appropriate.
Coordinate complex travel arrangements and prepare meeting materials, including itineraries and meeting packs.
Ensure all meeting requirements are met, including room reservations and hospitality needs.
Collaborate with finance teams to support fee earners in managing client billing, monitoring matter balances, and ensuring that invoices are issued promptly.
Track working capital and assist in financial reporting.
Manage expenses in accordance with company policy and resolve billing queries.
Administrative Support:
Provide comprehensive administrative support, liaising with internal teams to ensure the accurate and timely completion of tasks.
Delegate tasks to the document production team for the preparation of legal documents, pitch materials, and other documents as required.
Partner Meeting Support:
Organise and coordinate partner meetings, prepare agendas, and take minutes when needed.
Performance & Compensation Support:
Assist with scheduling and preparing documentation for performance reviews, partner team meetings, and promotions.
Matter Management:
Oversee the initiation of new matters, ensuring compliance with internal processes, including client due diligence and conflict checks.
Manage the ongoing administration of client files, ensuring proper document retention and timely closure of matters.
Business Development & Client Relationship Support:
Support business development activities, including updating fee earner CVs, assisting with bids and tenders, and coordinating events.
Assist Client Relationship Partners (CRPs) in managing relationships with key clients, attending meetings, preparing reports, and coordinating events.
Compliance & Risk Management:
Ensure adherence to internal risk and compliance policies, raising issues with the appropriate teams when necessary.
Complete mandatory training and respond to compliance-related requests promptly.
Key Requirements:A minimum of 3 years of experience in a similar role, ideally within a legal or professional services environment.
Strong organisational skills with the ability to manage competing priorities and work under pressure.
Exceptional written and verbal communication skills, with meticulous attention to detail.
Ability to handle confidential information with discretion and professionalism.
Proactive and able to anticipate the needs of fee earners, demonstrating excellent problem-solving skills.
Comfortable working both independently and as part of a team.
Proficient in Microsoft Office Suite.
